Using the Calendar Scheduler Stage Selector

When creating availability on the Fountain Calendar, you will use the Scheduler stage selector to determine which Openings and Scheduler stages the availability is for. This allows you to create availability across Openings, making creating availability a much faster and more efficient process.

Creating Your Conditions

After selecting the Host for your event availability, you will land in the Scheduler stage selector section. First, you will determine the condition types and values to which this availability will apply to. You can select only one or multiple condition types.

There are three condition type options available: Opening, Location Group, and Stage Name.

  • Opening: allows you to select one or multiple previously created Opening values in your account.

    • Fountain recommends naming your Openings uniquely so they are easy to search for and select when creating availability.

    • You will only see Openings in the value field that the Host you selected has access to via their permission settings.

    • If you search for an Opening and it does not appear as an option, you may need to select a different Host.

  • Location Group: allows you to select Location Group values previously created in your company’s account.

    • You will only see Location Groups connected to Openings that the Host you selected has access to via their permissions settings.

    • If the Host has access to only some of the Openings in a Location Group, you will still be able to select that Location Group. However, not all Openings will be included. Only the Openings in the Location Group that the Host has access to will be included.

    • If you search for a location group and it does not appear as an option, you may need to select a different Host.

  • Stage Name: allows you to select previously created stage values in your company’s workflows.

    • Scheduler stages with the same name but that exist in different workflows will appear as one value. For this reason, Fountain recommends naming your stages uniquely so they are easy to search for and select when creating availability. You can always change the name of a stage if you run into an issue with selecting the correct Scheduler stages.

    • Additionally, all stages will be pulled into the Scheudler stage selector regardless of the workflow they are saved to or your or the Host’s permission settings.

After determining what condition types you want to use, you will then select the values for those conditions in the field on the right. You can select only one value such as one Opening, one Location Group, or one stage name OR you can select multiple Openings, Location Groups, or stage names.

Multiple values for a condition type will be considered with OR logic. For example, in the screenshot below, the Fountain Calendar will add availability for the Folsom Pasta - Chef Opening with a Hiring Manager stage if it is in the Louisiana Hospitality Location Group OR the Folsom - Pasta Chef Opening with a Hiring Manager stage if it is in the Louisiana Hospitality Location Group.

Tip!

When building conditions, if you need to remove a condition type, simply click the trashcan icon to the right to remove it.

Updates to Openings or Location Groups

The Scheduler stage selector is dynamic meaning if a new Opening is created, you change a stage name, or change the Location Group for an Opening, these changes will be automatically evaluated against the previously built conditions to see if new Openings and stages will be included or excluded in your availability.

Example 1:

  • You create a new stage named Recruiter Interview for an Opening that is part of the Oregon Location Group.

  • You previously created availability with a condition type: Location Group is Oregon.

  • This new stage will be included in the availability because of the way the Scheduler stage selector was set up, all scheduler stages for all Openings in the Oregon Location Group will be included.

Let’s add another layer to this example:

  • You create a new stage named Recruiter Interview for an Opening that is part of the Oregon Location Group.

  • You previously created availability with a condition type: Location Group is Oregon AND Stage Name is Manager Interview

  • This new stage will NOT be included in the availability because the way the Scheduler stage selector was set up, only Manager Interview stages for all Openings in the Oregon Location Group would be included.

    • To fix this, simply find the availability on the calendar, click it, and select Edit Series. Then add the Recruiter Interview as a value in the Stage Name condition type section.

Example 2:

  • You create a new Opening for Hinsdale Cashier in the Chicago Suburbs Location Group. This Opening has a Scheduler stage named Phone Interview.

  • You previously created availability with a condition type: Stage Name is Phone Interview.

  • This new Opening will be included in the availability because the way the Scheduler stage selector was set up, all Phone Interview stages are included regardless of Opening or Location Group.

Let’s add another layer to this example:

  • You create a new Opening for Hinsdale Cashier in the Chicago Suburbs Location Group. This Opening has a Scheduler stage named Phone Interview.

  • You previously created availability with a condition type: Stage Name is Phone Interview AND Location Group is Chicago Suburbs.

  • This new Opening will be included in the availability because the way the Scheduler stage selector was set up, all Openings in the Chicago Suburbs Location Group with a Phone Interview will be included.

Let’s tweak the example:

  • You create a new Opening for Hinsdale Cashier in the Chicago Suburbs Location Group. This Opening has a Scheduler stage named Phone Interview.

  • You previously created availability with a condition type: Stage Name is Phone Interview AND Location Group is Illinois.

  • This new Opening will NOT be included in the availability because the way the Scheduler stage selector was set up, only Openings in the Illinois Location Group with a Phone Interview will be included. Your Opening is in the Chicago Suburbs Location Group which is not included.

To fix this, simply find the availability on the calendar, click it, and select Edit Series. Then add the Chicago Suburbs Location Group as a value in the Location Group condition type section.
