Manage Worker Requests on the Shift Dashboard

Workers can request to pick up a claimable shift, drop a shift that is currently assigned, or request time off through their Worker Portal. Depending on your location's configuration, these requests may be automatically approved based on rules set by managers and admins. Requests that do not match an automation rule are sent to the Shift Dashboard for manual review.

This article covers how to review and action requests on the Shift Dashboard and Schedule page, and how to view past requests and their statuses.

Schedule Page

To review pending worker requests on the Schedule page, click the Pending requests link towards the top right. This will bring you to the Shift Dashboard.


Shift Dashboard

To access the Shift Dashboard page, click Shift in the left side panel, then click Dashboard.

Pending requests will be listed on the left, organized by date and type. To see a different time range or select different locations, use the buttons above the Pending Requests tile.

Only ___ requests will be visible on the main Dashboard screen. Click View all in the Pending Requests tile to see all requests based on the time range and locations selected. Here you’ll see all pending requests and be able to search for specific requests by worker, type, or location.

Click a request box to review and action it. You’ll be able to see any notes from the worker and do the following based on the request type:

  1. Time-Off Requests: Approve or Decline the request.

  2. Claim or Drop Shift Requests: Review and assign/unassign to the worker who made the request, unassign/assign and unpublish (to manually assign later), or decline/approve request and open to other workers.

When multiple workers have submitted a claim request for the same shift, the timestamp for each request is displayed to help you review claims in the order they were submitted.

Click All requests at the top of the request list to change to specific types of requests, such as claim or drop requests. You can also click See on schedule in the top right corner of the selected request to flip to the Schedule page and see this request on the calendar.

Whether you approve or decline the request, the worker will be notified via their Worker Portal of your decision. Approved requests will also immediately be visible on the Schedule page. For example, if you approve a shift to be dropped, the worker will be removed from the shift on the Schedule page as soon as you click Approve.

Additionally, requests will be combined for you to review and action when appropriate. For example, let’s say a worker requests time off, but they have an assigned shift during that time off request. If you approve the time off request, you will then be prompted to action the shift that the worker had, which now needs to be either unassigned, set as claimable, assigned to a different worker, or deleted.

Click Apply or Confirm after making changes or selecting a decision.

Request Statuses

Each worker request has a status that reflects where it is in the review process. Statuses are visible when viewing past requests on the dashboard.

Description

Pending

The request has not yet been actioned by a manager.

Auto-Approved

The request was automatically approved based on a worker request automation rule.

Approved

The request was manually approved by a manager.

Declined

The request was manually declined by a manager.

View Past Requests

In addition to pending requests, the Shift Dashboard displays a history of past requests and their final statuses. To filter the dashboard to past requests, select Past from the dropdown above the request list. Use the All types dropdown to filter by a specific request type.

Past requests show the request type, worker, location, and the status outcome (Approved, Declined, or Auto-Approved). This provides a full audit trail of how requests were handled, including which requests were automatically processed by automation rules.

Important Notes:

  • Time off requests will not be fully approved until all managers have approved them.

  • Actions taken on the Dashboard can be undone by other Fountain users, if they have permission, to do so through the Shift Activity Log. Learn more in this article.
