By default, workers clock in and out of their shifts with the Clock in and Clock out buttons in their Worker Portal. If your workers record their time in another system, you can turn off time tracking in the Worker Portal so workers have one clear place to clock in. Your external system sends clock events to Shift through the API, and workers keep using the Worker Portal to see their schedules.
Before You Begin
Turning off time tracking changes how clock events reach Shift. Before you turn it off:
Make sure your external system sends clock-in and clock-out events to Shift through the API.
Test clock-in and clock-out events from your external system through to Shift.
Decide what message workers should see in place of the clock buttons.
Turn Off Time Tracking
To turn off time tracking in the Worker Portal:
Click Shift in the left side panel, then click Settings.
Under Settings, click General Settings.
Find the Worker Portal: Time Tracking section.
Turn off the Time tracking toggle.
In the If disabled display field, replace the default message, "Shift tracking is turned off for this role," with the message workers should see in place of the clock buttons. For example, "Please clock in using Google."
General Settings apply to all of your locations by default.
What Workers See
When time tracking is turned off, workers see your message in their Worker Portal:
In place of Clock in, before they have clocked in to a shift
In place of Clock out, once their shift has started
Workers can still see their schedule and open Shift details. If you don't change the message, workers see the default, "Shift tracking is turned off for this role."
Keep Timesheets and Attendance Policy Working
While time tracking in the Worker Portal is turned off, clock events reach Shift from your external system. Punch Settings, such as early clock-in limits and geofencing, don't apply, so set those rules in your external system instead.
Timesheet flagging and your attendance policy keep working as long as your external system sends clock-in, clock-out, and break data to Timesheets as it happens.
Test Your Integration First
While time tracking is turned off, workers can't clock in from the Worker Portal, so Shift depends on your external system for every clock event. Test the integration end to end before you turn off time tracking.
Turn Time Tracking Back On
To give workers the clock buttons again, return to the Worker Portal: Time Tracking section and turn the Time tracking toggle back on. Workers see the Clock in and Clock out buttons in their Worker Portal again.
