Obtaining an AssureHire Account

In order to enable Foutain’s AssureHire integration, you will need to create an account by contacting AssureHire directly. Already have an AssureHire account? Please skip to the next section of this article.

Set up AssureHire Integration

Reach out to your Fountain CSM or [email protected] to enable this feature on your account. Once Sterling has been enabled for your account, follow the steps below:

  1. Contact your Mitratech CSM to request the relevant API Key. Save this for use in Fountain.

  2. Within Fountain, click on your initials icon in the top right corner. Then click Integrations in the dropdown.

  3. Click on Screening in the left sidebar.

  4. Click Connect to the right of AssureHire.

  5. Type your Sterling API Key. You can leave the Account ID field blank.

  6. Click Save Changes.

Add an AssureHire Stage to Workflow

To add the AssureHire stage to your Opening’s workflow, follow the steps below:

  1. Access the Workflow Editor for your Opening. Click Add Stage in the top left corner. Then click Create New Stage in the dropdown.

  2. Type a name for the stage, select AssureHire Partner Stage in the stage type dropdown, and choose the placement of the stage.

  3. Click Add Stage.

  4. In the AssureHire Integration section, choose the appropriate package for Stage Option Type in the dropdown.

  5. Click Save Changes in the top right corner.

AssureHire Stage Rules

You can create stage rules for applicants in the AssureHire stage based on their status. Below is an example of a rule in the AssureHire partner stage:

Adding Required Fields to the Application Form

For every Opening you create, you must add up to two custom fields to the application form (assure_initiator and bill_code). A list of available bill codes and emails will be provided to you by AssureHire when you request the API Key and Account ID. Some companies will not be provided bill codes because the bill_code field is not required. Ask your Miratech CSM for guidance if you’re unsure if you need the bill_code field.

These custom fields will be auto-populated (with the values you set up) every time an applicant applies via your application form. When manually adding applicants you will need to add these fields manually. These steps are covered later in the article.

To add the custom fields, follow the steps below:

  1. On the Jobs page of Fountain, click Add Opening on the right.

  2. Select the Location, Position, and rename the Opening (if desired).

  3. Click Continue.

  4. Complete the Opening Details screen.

  5. Click Continue

  6. On the Application Form screen, click Unlock and then click Add question.

  7. Add the field for Assure Initiator. You do not need to type a question title. For the answer, you will enter the value you want to be sent to AssureHire. In the example below, [email protected] is used for the assure_initiator. This is the email of the user responsible for requesting the AssureHire background check. For the Merge Key, type assure_initiator. Change the Question Type toggle to Hidden.

  8. If instructed by your Miratech CSM, add the field for Bill Code, you do not need to type a question title. For the answer, you will enter the value you want to be sent to AssureHire. In the example below, Miami is used for the bill_code. For the Merge Key, type bill_code. Change the Question Type toggle to Hidden.

  9. Click Save.

To add the fields to an existing Opening, follow the steps below:

  1. On the Fountain Job Openings screen, find the Opening you want to add the fields to and then click the 3 dots button to the left of the Opening. Click Edit Job Description & Application Form in the dropdown.

  2. Click Customize Application Form.

  3. Follow steps 3 through 6 above above.

Manually Adding Applicants

If you manually add applicants to an Opening, you must manually add these custom fields before submitting the applicant into the hiring workflow.

  1. On the Applicant Table, click Settings and then Add Applicant in the dropdown.

  2. In the Stage dropdown, select Start of Workflow.

  3. Type the full name of the applicant.

  4. Type the email of the applicant.

  5. Type the phone number of the applicant.

  6. Click Add additional info.

  7. In the Key box, type assure_initiator. In the Value box, type the value you want to send to AssureHire.

  8. If you also need to add the bill_code field, click Add additional info again.

  9. In the Key box, type bill_code. In the Value box, type the value you want to send to AssureHire.

Applicant Experience

When applicants land in the AssureHire stage, they will be provided the Consent and Authorization form to officially start their background check. The applicant will also see numerous Personal Information fields prepopulated due to AssureHire’s auto-fill feature which gathers previously entered information and enters that information into the background check fields.

After completing the Personal Information screen, the applicant will be required to read and sign their consent and disclosure form as well as provide a digital signature. There may be additional screens following this screen depending on the package that was selected when setting up the stage.

The applicant will then validate that the information being submitted on the background check is accurate and click the Start Background Check button.

AssureHire Statuses and Partner Details

The following statuses can be seen in the Applicant Table, Universal Applicant View, and Applicant Profile related to AssureHire:

Purple tag = “Waiting

  • AssureHire Status invited: The applicant was created in AssureHire’s platform, and they can see the form with the required information in the Fountain application screen to start the Consent and Authorization process.

Purple tag = “In progress

  • AssureHire Status pending: The applicant has provided AssureHire their consent and required information to start the background check.

Blue tag = “Pending Action

  • AssureHire Status consider: AssureHire has found something that the client needs to review (like a criminal record or a professional license that doesn't match).

Red tag = “Completed Adverse

  • AssureHire Status adverse: AssureHire has found something that the client needs to review (consider status) and the client agreed that it was unacceptable.

Red tag = “Cancelled

  • AssureHire Status cancelled: The background check was canceled.

Green tag = “Completed

  • AssureHire Status clear: The background check was completed successfully and AssureHire did not find any issues with this applicant.

Fountain users can check the details of each status by clicking on the Status Label and either selecting View Report (which directs the user to the full report within AssureHire), or Partner Details which shows the current status of the report:

Important Note:

The email entered for the Assure Initiator email when adding custom fields, will receive Daily Digest emails which include the status on every submitted package.
