Position

Create, configure, clone, and manage Positions — the reusable job configuration that holds the Description, Internal description, and Application Form used by your Openings.

A Position is a reusable job configuration that can be associated with one or more Openings. It contains information such as the Position name, the applicant-facing Description, the Internal description, and the Application Form. An Opening combines a Position with hiring details such as location and other Opening-specific settings.


Add a Position

  1. Hover over Jobs in the top navigation bar, and select Positions.

  2. Click the blue Add Position button.

  3. Enter a unique Name for the Position, for example Delivery Driver, Cashier, or Ambassador.

  4. To configure the Position's application experience, click Customize Application Form. Additional fields expand on the same page. Skip this step if you use an external application form.

  5. Configure the applicable sections: Job at a Glance, Cover Image, Description, Internal description, Application Form questions, and Confirmation Message.

  6. Click the blue Save button at the bottom of the page.

Additional Information:

  • Customize Application Form expands the configuration fields on the same page. It does not open a separate page.

  • The Application Form section displays No Openings use this Application Form when no Opening is associated with the Position's Application Form.


Customize the Application Form

Click Customize Application Form on a Position to expand the sections below.

Job at a Glance

Use the Job at a Glance fields for short highlights that summarize the Position. Enter one highlight per field, and click Add More to add another field.

Cover Image

Drag and drop an image into the Cover Image area. The recommended image size is 1600 × 500 pixels.

Description

Enter the applicant-facing description of the Position, including information such as job responsibilities, qualifications, and requirements. You can format the description and add links or images using the rich-text toolbar.

The Position-level Description is used as the default for associated Openings. If an Opening has its own Description, the Opening-level content is displayed instead without changing the Position. Learn more in the Create a Job Opening article.

Consider leaving the Description blank if you are embedding the Application Form on your website.

Internal description

Enter optional information for your internal team. The Internal description is visible only to your team in Fountain and is not shown to applicants.

Use this field for internal context, operational notes, or guidance that applies to the Position. Do not include information applicants need to see.

Important: Keep Applicant Information in Description

Do not put information applicants need in the Internal description. Applicants cannot see this field.

Insert Merge Keys

Use Insert Merge Keys to add dynamic values to your content. Two sets of keys are available: Opening Keys and Customer Attribute Keys.

Application Form Questions

First Name, Last Name, Email, and Phone number are default Application Form questions. These questions are required and cannot be edited or removed. To collect more information, click Add question.

Tip: Keep the Application Form Short

Ask only what you need to sort applicants. You can collect additional information later by adding a Data Collection stage to your workflow.

Confirmation Message

Enter the message applicants see after they submit the Application Form. Use the rich-text toolbar to format the message and to add links or images.


Clone a Position

  1. Hover over Jobs in the top navigation bar, and select Positions.

  2. Click Actions next to the Position you want to copy, and select Clone from the dropdown menu.

  3. Enter a unique Name for the cloned Position. Click Customize Application Form to customize the cloned Position.

  4. Click Save.

Best Practice: Update Sorting Conditions After Cloning

If you are using a form that is not hosted by Fountain, change the sorting conditions of the newly cloned Position to match the new Position.


Edit a Position

  1. Hover over Jobs in the top navigation bar, and select Positions.

  2. Click Actions next to the Position you want to edit, and select Edit.

  3. Update the Name, or click Customize Application Form to update the Application Form sections.

  4. Click Save.

Delete a Position

  1. Hover over Jobs in the top navigation bar, and select Positions.

  2. Click Actions next to the Position you want to remove, and select Delete.

  3. Confirm the deletion.

Before You Delete a Position

Check which Openings use the Position before you delete it, and update those Openings first.
