Hiring Goals

Hiring Goals help you optimize recruitment performance by tracking hiring progress against goals. Easily create goals per opening or in bulk, and visualize current and historic performance in Analytics.

User Permissions:

Users must have admin or Hiring Goals permissions to set or reset Hiring Goals. Contact your manager for assistance with obtaining these permissions, if you don't currently have them.

Turn on Hiring Goals

To turn Hiring Goals on in your account, an Administrator will follow the steps below:

  1. Click on your initials icon in the top right corner of any Fountain page.

  2. Click Company Settings in the dropdown.

  3. Scroll down within General > Company settings to the Hiring Goals section. Check the box to the left of Enable Hiring Goals.

  4. Check any additional boxes below based on your needs. These options are defined below.

  • Mark an opening "inactive" when a Hiring Goal is filled: checking this box will automatically turn an Opening to inactive once the previously set Hiring Goal is met.

  • Enable Email Reminder Message: checking this box will trigger email reminders to set Hiring Goals based on the email connected to the Opening Owner's account. The email is sent one day prior to the current Hiring Goal's end date (Hire by date).

  • Enable SMS Reminder Message: checking this box will trigger SMS reminders to set Hiring Goals based on the phone number connected to the Opening Owner's account. The text is sent one day prior to the current Hiring Goal's end date (Hire by date). In order for this notification to work correctly, the Opening Owner must add their phone number to their Profile settings.

Set Hiring Goals for Individual Opening

Hiring Goals can be set for a specific opening via the Applicant Table or Openings screen, They can also be set in bulk via CSV.

To set Hiring Goals on the Applicant Table, follow the steps below:

  1. In the top left, click Set Hiring Goal under the Opening name

  2. In the Hiring Goals pop-up window, under the Upcoming tab, enter a start date and end date (Hire by date), and a number for the Hiring target. For example: if you want to hire 10 people within two weeks you might enter: 11/03/2023 for the Start date, 11/17/23 for the Hire by date, and 10 for the Hiring target.

  3. Click + Add hiring goals to create a new line of Start date, Hire by date, and Hiring target fields where you can add additional Hiring Goal information for future weeks.

  4. When done, click Save.

  5. You will receive a popup message once your Hiring Goals are successfully added.

You can also access the Hiring Goals pop-up window by navigating to the desired opening on the Openings screen and click Set Hiring Goal in the far right Hiring Goal column.

Set Hiring Goals via Bulk CSV

To set Hiring Goals via Bulk CSV, follow the steps below. Please note: to learn more about other Bulk Edit Settings, visit Bulk Edit Workflows.

  1. From the Openings page, click Bulk Edit Settings in the top right corner and then click Upload Hiring Goals via CSV in the dropdown menu.

  2. Click the Email me Hiring Goals CSV button regardless if you have used Hiring Goals previously. This will send an Excel file that is formatted with the correct columns that are listed in step 3 below. Review the sample document if you'd like additional guidance.

  3. Drag and drop or click choose file to browse and select a .csv file directly from your computer.

  4. Once your file is uploaded, click Submit. You will receive an email once your import has been completed.

Your .csv file must include the following columns:

  • Opening ID: Only include Opening IDs for which you have admin or Opening Owner permissions. To download a list of your Opening IDs, customize the Applicants by Opening Table within Analytics. Go to Analytics then the Openings Dashboard to add an “ID” column and download the report. Visit Analytics to learn more.

  • Opening Title: This is the name of your Opening in Fountain

  • Opening Status: Either active or inactive

  • Hiring Target: Only positive integers are accepted.

  • Start Date: Start dates must be in the future, in YYYY-MM-DD format.

  • Hire By: Hire by dates must be in the future, in YYYY-MM-DD format.

  • Hires Count: Only positive integers are accepted. If hiring goals were previously set, a number will populate in this field when the CSV is sent via email.

  • Hiring Goal ID: This field is only required if you are modifying an existing goal or deleting a goal.

  • Delete Goal: This field is only used if you are removing a goal. Put an X or x in the delete column to remove.

Important Note:

After setting Hiring Goals, the user will receive a weekly email notification to update Hiring Goals in Fountain. You can also only update future Hiring Goals not active Hiring Goals.

Track Hiring Progress

Once Hiring Goals are set, progress toward the goals can be monitored directly on the Applicant Table under the opening name, within the Hiring Goals popup window, or on the Openings screen. As applicants transition into the Approved stage, the number of hires, as well as the number of hires needed will be updated in all locations.

Example within Hiring Goals Pop-Up:

  • For the current week, the Hiring Goal is set to 15 hires.

  • Since the goal was created, 3 applicants have transitioned into the Approved stage, so 3 have been hired.

  • Once the Hiring Goal is met, you will see a green check mark to the right of the goal.

  • You can also click the Past tab to review HIring Goals that were previously set.

Example on Openings screen:

  • A Hiring Goal is set to 10 hires.

  • Since the goal was created, 3 applicants have transitioned into the Approved stage, so 3 have been hired.

Important Note:

When an applicant is hired for one Opening but is later moved to another Opening’s Hired stage, that applicant gets counted towards both Opening’s Hiring Goals.

Edit Hiring Goals

You can edit your Hiring Goals at any time. Follow the steps below to edit Hiring Goals:

From the Applicant Table

  1. Click the pencil icon to the right of the Hiring Goals progress tracker on either the Openings screen or Applicant Table.

  2. In the Hiring Goals pop-up window, click Edit.

  3. Adjust any Hiring Goal fields you desire. To add additional Hiring Goals, click + Add Hiring Goals and fill in the applicable fields.

  4. Click Save once all updates have been made. You will receive a confirmation that the edits have been saved successfully.

From the Openings screen

  1. Navigate to the Opening you'd like to edit, select the three-dots icon, and choose Edit Hiring Goal from the dropdown menu.

  2. Update any fields you desire.

  3. Click Save.

Important Note:

If you enter a start date that overlaps with another hiring goal’s Hire by date, you will receive an error message when you attempt to save.

Via Bulk via CSV

Upload a new file to reset the Opening's hiring goals.

Delete or Close Hiring Goals

If you have a Hiring Goal that has zero hires, you can choose to delete it. If you determine you have enough hires for an active Hiring Goal, you can choose to close it.

To delete a Hiring Goal, follow the steps below:

  1. Access the Hiring Goals pop-up screen by clicking Edit Hiring Goal from the Applicant Table or Openings screen.

  2. Click the trash can icon to the right of the Hiring Goal.

  3. Click Save.

  4. You will be asked to confirm that you want to delete the Hiring Goal, click Delete in the pop-up.

  5. You will receive a confirmation that the Hiring Goal was deleted successfully.

To close a Hiring Goal, follow the steps below:

  1. Access the Hiring Goals pop-up screen by clicking Edit Hiring Goal from the Applicant Table or Openings screen.

  2. Click the X icon to the right of the Hiring Goal.

  3. Click Save.

  4. You will be asked to confirm that you want to close the Hiring Goal. The Hiring Goal will be closed and the hires made so far will be set as the hiring target. Click Delete in the pop-up to close the Hiring Goal.

  5. You will receive a confirmation that the Hiring Goal was deleted successfully.

Hiring Goals when Sponsoring Jobs via Indeed

Hiring Goals is also be created, viewed, or managed when sponsoring a job via Indeed, to help inform campaign and budget decisions.
