Stage Landing (Initial) Messages

Every stage has the option to send an automated SMS or email message after an applicant lands on the stage. By default, there are generic plain text stage messages available per the stage settings.

You should revise these default messages to correspond with your brand's tone, voice, and style. The stage landing messages are meant to encourage the applicant to continue with your application. We recommend adding additional Follow-Up messages to prompt the applicant to complete the necessary steps and actions and to get them hired and onboarded as quickly as possible.

Add/Edit Stage Messages

  1. Within the Applicant Table, click Settings, then select Edit Workflow from the dropdown menu.

  2. In the Workflow Editor, select the stage you'd like to edit.

  3. Scroll down until you get to the Initial Message and Follow-Up Message sections.

    An Initial Message is automatically sent when an applicant lands in a stage.

    A Follow-Up Message is sent after an applicant completes a stage, to share information, or to prompt the applicant to complete additional actions.

    Depending on what the stage type is, the section may be different. For example, in background check stages, you might see Consent Message; for Custom Stages, you might see Initial Message.

  4. Click the Pencil Icon to edit the Initial Message or click Add Message to add a Follow-Up message.

  5. Enter information in all required fields, which are marked with an asterisk (*), or select a template from the dropdown menu.

    We recommend adding SMS as a form of communication. Accounts that had SMS messages saw a higher conversion rate and faster completion time.

  6. Save Message.

Schedule Stage Landing Messages

Once you have updated the Initial message, select the option located in the Initial Message section to add the number of minutes you want to delay until you send the initial stage message.

Tip: Appropriate Delay

To prevent an applicant from getting multiple messages back to back as they move through stages, there are options to delay your message from sending. We recommend choosing an amount of time that is sufficient to complete that stage and yield on the longer side.

Disable Stage Message

You may opt to disable messages without completely deleting them.

  1. In the Workflow Editor, select the stage you'd like to edit.

  2. Scroll down until you get to the Initial Message or Follow-Up Message section, which contains the stage landing message you want to disable.

  3. Click the toggle under Disable.

  4. This message will no longer be sent to applicants.
