Appcast gives you an easier path to find candidates around the globe through a combination of job ads, resume databases, and employer brand ads. With just a few simple steps, Appcast will be able to effectively communicate with Fountain. There will be three connection points that are required in order for Appcast to track applications and manage your job distribution when using Fountain. These connection points are:
Jobs Feed: This is how your open jobs are sent to Appcast from Fountain. Jobs are sent via an XML.
Apply Attribution: Appcast’s tracking technology is deployed on every completed application. This allows Appcast to know when a candidate has completed the application process.
Source Attribution: Appcast is set as a source within Fountain so that you know which applications are coming from Appcast.
You will be responsible for providing the Jobs Feed API to the Appcast Customer Success Team and setting up the Apply Attribution webhook. The Source Attribution will be completed by Appcast.
Obtaining the Jobs Feed API Key
The first step is to obtain the jobs feed API key to send to Appcast. Follow the steps below to get this information from Fountain:
Once logged into Fountain, click your initials icon then click Company Settings.
On the Company Settings page, click API Key under Developer Settings.
Click Show API Keys.
Copy the Private API Key and send it to the Appcast Customer team.
Apply Attribution Conversion Tracking Setup
The second step is to set up the Apply Attribution. Appcast uses pixel and webhook technology for Apply Attribution. You can think of a pixel as an invisible image placed on your application complete page which tells Appcast when a candidate has completed the application. To set up the pixels within Fountain, follow the steps below:
Once logged into Fountain, click your initials icon then click Company Settings.
On the Company Settings page, click Conversion Tracking under App Settings.
Click Add Conversion Tracker.
Select Custom in the Network dropdown. Type Appcast in the Description box.
Click Next Step.
In the Custom Javascript Step box, paste the javascript (pixels) provided by your Appcast Customer Success Team (reach out to Appcast if you have not received this).
Click Next Step.
In the Opening dropdown ensure Trigger on all openings is selected. In the Stage dropdown select Trigger on 1st stage after the application form.
In the Frequency When to Trigger dropdown, ensure Every time applicant lands on trigger target selected.
Click Complete.
Apply Attribution Webhook Setup
The third step is to set up the Apply Attribution webhook in Fountain. In addition to pixels, Appcast also uses webhook technology for Apply Attribution and Quality Attribution. Webhooks allow Fountain to communicate to Appcast that an application has been submitted for one of your jobs, as well as how that application progresses (i.e. candidate stage changes) through the hiring process. To set up the webhook within Fountain, follow the steps below:
Once logged into Fountain, click your initials icon then click Company Settings.
On the Company Settings page, click Webhooks under Developer Settings.
Click Add Webhook.
In the Webhook Name field type Appcast Webhooks. In the Payload URL field type the payload URL provided by the Appcast Customer Support Team (reach out to Appcast if you have not received this). In the Trigger dropdown ensure Stage Transtion is selected. In the Stage dropdown select All Stages.
Click Save.
Once the webhook setup is complete, send two post-application stages you would like to track as quality signals to your Appcast Customer Success Team. Common stages include: Interview, Background check, Offer Letter, and Approved/Hired.
Source Attribution Overview
Source attribution will allow you to understand when an applicant comes from an Appcast-managed source. Appcast pushes source information into Fountain with each candidate application.
In addition, Appcast will append a source parameter and CCUID to the URL of each of your job listings.
A source parameter is a string of letters added to each job URL, which allows Appcast to track when an application comes from Appcast. It will look like this: {url}?utm_source=Appcast.
A unique click ID (CCUID) is used to match Webhook data back to each click Appcast delivers. It will look like this: {url}&ccuid=23823812.
The Appcast Customer Success Team is responsible for setting up the Source Attribution. No action is required from the Fountain customer.
Appcast Apply and Fountain Communication
When an applicant applies via Appcast Apply, an email should be sent to the applicant instructing them to continue their application. You will need to ensure this is in the automated Stage Landing message for each Opening in Fountain. Follow the steps below to ensure the automated communication is set up correctly:
In Fountain, click Jobs in the top toolbar then click Openings.
Next to the Opening, click the 3 dots action button then click Edit Workflow in the dropdown.
Once on the Workflow Editor screen, click the stage box in the lefthand list that corresponds with Application Complete (this is typically the first stage in the workflow).
Scroll to the Initial Stage Landing message section of the stage settings.
Update the Delay number to 5 (this is a recommendation from Appcast).
Review or edit the email and SMS message content by clicking the pencil icon. To learn more about Stage Landing message best practices review this Help Center article.
Ensure there is a Merge Key added to the message that allows the applicant to return to the application such as [DATA_COLLECTION_FORM_LINK] or [PORTAL_LINK].
Click Save Message after making any updates.
Repeat for all Openings.'
