Use Data Collection stages to collect documents and information from applicants after their initial application.
Upon landing in a Data Collection stage, applicants will receive a customizable email with a link asking them to complete a form. The link will take applicants to the Applicant Portal to fill out information.
Depending on your settings, applicants will be automatically moved to the next stage upon successfully submitting their documentation. If you're using the Applicant Portal, this allows for a streamlined applicant experience which keeps people engaged!
How you use your data fields is up to you! Customize the fields you want to collect using the “Customize fields for data collection stage” button in any Data Collection Stage. You can collect additional information, ask quiz questions, or collect documents. Data is divided into two categories: Custom Fields and Secure Fields
Custom Fields encompass any custom data which you want to append to an applicant's profile. You can use datepickers, multiple choice, dropdowns, uploads, and blank fields.
Secure Fields are used for PII (Personally Identifiable Information) such as SSN, bank information, insurance documents, and more. PII is given an extra layer of security, and the fields are not customizable. We group types of PII by categories like “Bank”, “Vehicle," or “Insurance” to make collecting the data you need more convenient.

NOTE: File Uploads are stored with TrueVault, meaning that OnboardIQ does not host any applicant files.
In addition to customized messaging, you have two toggle options for Data Collection behavior. You can:
- Notify yourself via email when an applicant completes a Data Collection stage.
- Automatically move the applicant when they complete the stage.
