When does Fountain send emails for Posthire recollections?

Posthire Email Cadence

If you have the setting in your recurring check rule to "deactivate" if collection fails, the worker will be deactivated in Posthire if they do not satisfy the check and receive no additional emails. 

If you have the setting in your recurring check rule to "do nothing" if collection fails, the worker will remain active in Posthire if they do not satisfy the check and receive a reminder email every 10 days for 3 months.

Recurring data collection checks

Expiration is greater than 30 days from the day when they hit Posthire
  • 1 email 30 days prior to the expiration
  • 1 email 10 days prior to the expiration
  • 1 email 5 days prior to the expiraton
  • 1 email 1 day prior to the expiration
  • If they do not upload the requested documents, they will be deactivated unless your recurring check rule is set to “do nothing”--if that’s the case, see the next bullet
  • 1 email every 10 days after expiration for 3 months (only if the recurring check rule is set to “do nothing” and the worker remains active) 
 
Expiration date is in the past when they hit Posthire
If the expiration date is in the past, Posthire will automatically calculate a new expiration by taking the current date and add a 10-11 day buffer to that (Posthire grants a 10-111 day grace period to upload this document)
  • 1 email 10 days prior to the newly calculated expiration
  • 1 email 5 days prior to the newly calculated expiration
  • 1 email 1 day prior to the newly calculated expiration
  • If they do not upload the requested documents, they will be deactivated unless your recurring check rule is set to “do nothing”--if that’s the case, see the next bullet
  • 1 email every 10 days after newly calculated expiration for 3 months (if the recurring check rule is set to “do nothing” and the worker remains active) 
 
Specified frequency (e.g. every 3 months)
  • 1 email 30 days prior to the expiration
  • 1 email 10 days prior to the expiration
  • 1 email 5 days prior to the expiraton
  • 1 email 1 day prior to the expiration
  • If they do not upload the requested documents, they will be deactivated unless your recurring check rule is set to “do nothing”--if that’s the case, see the next bullet
  • 1 email every 10 days after expiration for 3 months (only if the recurring check rule is set to “do nothing” and the worker remains active) 

Recurring background checks

  • 1 email 10 days prior to the specified date of the run
  • 1 email 5 days prior to the specified date of the run
  • 1 email 1 days prior to the specified date of the run
  • 1 email every 10 days after the specified date of the run

Recurring document signing

Based on hire date
  • 1 email 30 days prior to the specified date of the run
  • 1 email 10 days prior to the specified date of the run
  • 1 email 5 days prior to the specified date of the run
  • 1 email days prior to the specified date of the run
  • If they do not sign the requested documents, they will be deactivated unless your recurring check rule is set to “do nothing”--if that’s the case, see the next bullet
  • 1 email every 10 days after the specified date for recollection for 3 months (only if the recurring check rule is set to “do nothing” and the worker remains active) 
 
Based on date last document was sent
  • 1 email 30 days prior to the specified date for recollection
  • 1 email 10 days prior to the specified date for recollection
  • 1 email 5 days days prior to the specified date for recollection
  • 1 email 1 day prior to the specified date for recollection
  • If they do not sign the requested documents, they will be deactivated unless your recurring check rule is set to “do nothing”--if that’s the case, see the next bullet
  • 1 email every 10 days after the specified date for recollection for 3 months (only if the recurring check rule is set to “do nothing” and the worker remains active) 
 
Single start date (You will specify a date for this frequency)
  • 1 email 30 days prior to the specified date for recollection
  • 1 email 10 days prior to the specified date for recollection
  • 1 email 5 days prior to the specified date for recollection
  • 1 email 1 day prior to the specified date for recollection
  • If they do not sign the requested documents, they will be deactivated unless your recurring check rule is set to “do nothing”--if that’s the case, see the next bullet
  • 1 email every 10 days after the specified date for recollection for 3 months (only if the recurring check rule is set to “do nothing” and the worker remains active) 
 
In all cases, if the expiration date or last date of run is <30 days, <10 days, <5 days, <1 days away when they hit Posthire or from when the rule was implemented:
  • If the expiration date/last date of run is less than 30 days away, Posthire will skip the 30 day notification and jump directly to the 10 day notification and continue the normal sequence from there
  • If the expiration date/last date of run is less than 10 days away, Posthire will skip the 10 day notification and jump directly to the 5 day notification and continue the normal sequence from there
  • If the expiration date/last date of run is less than 5 days away, Posthire will skip the 5 day notification and jump directly to the 1 day notification and continue the normal 10 day reminders for 3 months from there if the worker remains active.
