Module 6: Reporting & Analytics

By the end of this module you will be able to:

  • Use the reporting dashboards to find key hiring metrics
  • identify areas to optimize your time-to-hire


There are two main sections of the Reports page:

  1. Analytics dashboards - quick and interactive charts
  2. Custom exports - select the data you need and download via csv


Analytics Dashboard

Use the Analytics Dashboard when you need a quick snapshot of the hiring activity in your Fountain account. The dashboard is designed to help you quickly see how a job opening is doing, and quickly spot trends and areas for improvement.

The analytics page consists of 5 interactive segments:

1. The Performance tab provides an overview of how many people applied to your position, how many you hired, and how many you rejected.


2. The Stage Metrics tab provides a view of how many people landed in each stage as they went through your hiring process. This can help you find areas where applicants are getting stuck, or areas where there seems to be a lot of drop off.



You notice 200 applicants land in the interview stage, and only 20 advanced to the next stage to complete their background check. This tells you there might be something going on with your interviewing stage (applicants book to far out in advanced, not enough applicants are actually scheduling their interviews etc.) This might also tell you that applicants are not qualified after having an interview which is a good sign that you aren’t asking enough qualifier questions early on in your hiring process. Use the Sessions and rejection tabs to further understand these kinds of drop-off.


3. The Session Metrics tab provides an overview of your scheduled events (e.g. interview or orientations). Use this to find out attendance rates, how many interviews you are conducting, and what time of the day has the highest attendance rate.



You notice a lot of interview no-shows and would like to increase the attendance rate. By using the the attendance graph, you find that Friday at 10am has the highest attendance rates and use this to optimize your time slots. You also see that Tuesday at 9am has the lowest attendance rate and stop offering sessions at this time.

4. Rejection Metrics

The rejection metrics tab shows a breakdown of rejection reasons.

Use this report to: assess whether there are deal-breaker questions you should add in your application to filter out unqualified candidates.


Example: You look into the rejected reasons and notice that a majority of your applicants are failing their background checks. Knowing this, you add a question to your application form to ask whether or not they would pass a background check, automatically filtering out unqualified candidates.

5. User Metrics - View internal user activity such as messages sent and interviews held.


 Example: Use this to see how many phone screens you've made, how many messages you've sent, or how many applicants you've moved through the funnel.


Custom Exports

Custom exports allow you to customize and export all of your applicant data to a csv file. Use the Custom exports tab to pull any kind of applicant data into one file.

1. Find the custom exports page by clicking Exports from your reports page 

2. Click New Export

3. Select the position and data key you would like to include in your export. Each data key will be a separate column in the spreadsheet:
