Schedule and Download Analytics Reports and Dashboards

Download analytics data or schedule automated deliveries via email, SFTP, or webhook to share analytics insights with stakeholders.

Fountain Analytics allows you to download data and schedule automated deliveries for both dashboards and individual report tiles. You can download or schedule an entire dashboard or individual tiles within a dashboard, making it easy to share insights with stakeholders or integrate analytics data into your workflows.

Dashboard downloads and scheduled deliveries require the appropriate user permissions. See Analytics Permissions and Folder Management for more information.

Enable Downloads and Scheduled Deliveries

Before users can download or schedule a dashboard, these features must be enabled in the dashboard's Document Settings.

  1. Open the dashboard you want to configure

  2. Click File in the top navigation

  3. Select Document Settings

  4. Toggle Allow Download to enable dashboard downloads

  5. Toggle Allow Schedule to enable scheduled deliveries

Standard Dashboards can be downloaded and scheduled by default.

Disabling the schedule setting does not cancel existing scheduled deliveries. It only prevents users from creating new schedules. To stop deliveries, you must delete or pause existing schedules.

Download Dashboards

You can download dashboard data as images, PDFs, spreadsheets, or CSV files. Downloads are available at both the dashboard level and the individual tile level.

Download an Entire Dashboard

  1. Click File in the top navigation

  2. Select Download

  3. Choose your download format:

    • PNG Image - Static image of the entire dashboard

    • PDF - Formatted PDF document of the entire dashboard

    • Excel - Excel workbook with data from all tiles

    • CSV Zip - Compressed folder containing CSV files for each tile

  4. Enable or disable additional file options (these will display based on the chosen download format):

    1. Expand tables - Expands tables to include up to 1,000 rows in the download, rather than just the visible rows.

    2. Arrange dashboard tiles in a single column - Changes the layout so all tiles are stacked vertically in one column instead of the original dashboard grid layout.

    3. Hide title - Removes the dashboard title from the downloaded file.

    4. Show filter values in dashboard - Displays the current filter values applied to the dashboard in the download. When disabled (hidden), filter values won't appear in the output.

    5. Apply data formatting like rounding, special characters - Includes visual formatting (such as rounding numbers or special characters) in the downloaded data, rather than raw values.

    6. Exclude hidden columns - Columns hidden in the table visualization won't be included in the download.

    7. Download all possible results - Ignores any row limits applied to the underlying query, returning all available results instead of just the limited set.

The dashboard downloads immediately to your device.

Download a Single Tile

  1. Click the three dots (⋮) in the upper-right corner of the tile

  2. Select Download

  3. Configure your download options:

    • Format - Choose PNG, PDF, Excel, or CSV

    • Row Limit - Set the maximum number of rows to include (for data exports)

    • Format Data - Toggle on to apply formatting (for spreadsheet exports)

  4. Click Download

Row limits help manage file size for large datasets. If your tile contains more data than the row limit, only the specified number of rows will be included in the download.

Schedule Automated Deliveries

Scheduled deliveries automatically send dashboard data to specified recipients on a regular basis. You can schedule deliveries at the dashboard level or for individual tiles.

Schedule a Dashboard Delivery

  1. Click File in the top navigation

  2. Select Deliveries and Alerts

  3. Click New (or if this is the first delivery, begin configuring the delivery in the New delivery section)

  4. From the New delivery section, configure the delivery using the options described below:

Send Options

  • Delivery - Select Schedule or Alert as the delivery type

  • Send (Select content) - Choose specific tiles or the entire dashboard

  • Destination - Select Email, SFTP, or Webhook

  • Delivery Name - Enter a descriptive name for the schedule

Schedule Frequency

Choose when the delivery should be sent:

  • Now - One-time immediate delivery

  • Daily - Every day at a specified time

  • Weekly - Specific days of the week (Monday, Tuesday, Wednesday, Thursday, Friday)

  • Monthly - Specific day of the month, or last day of the month

  • Custom - Advanced scheduling using cron syntax

Select your preferred time and time zone for the delivery.

Dashboard Format Options

  1. Format - Configure how the dashboard appears in the delivery (these will display based on the chosen download format):

    1. Expand tables - Expands tables to include up to 1,000 rows in the download, rather than just the visible rows.

    2. Arrange dashboard tiles in a single column - Changes the layout so all tiles are stacked vertically in one column instead of the original dashboard grid layout.

    3. Hide title - Removes the dashboard title from the downloaded file.

    5. Apply data formatting like rounding, special characters - Includes visual formatting (such as rounding numbers or special characters) in the downloaded data, rather than raw values.

    6. Exclude hidden columns - Columns hidden in the table visualization won't be included in the download.

  2. Controls and Filters - Use the controls and filters that you've applied to your Dashboard to apply to your scheduled delivery.

Applied filters override the dashboard's default filter settings for scheduled deliveries. This allows you to send different filtered versions of the same dashboard to different recipients.

Delivery Settings

Configured the delivery settings based on the Destination type chosen:

  1. Email Delivery Settings

    1. File Name - Name for the delivered file

    2. Recipients - Select recipients from the dropdown or enter external email addresses

      • Dropdown shows users within your Fountain account

      • You can manually enter external email addresses

    3. Subject Line - Enter an email subject (defaults to the delivery name)

    4. Email Body - Add a message to include in the email

    5. Click Save to create the schedule

  2. SFTP

    1. Address - SFTP server URL

    2. File Name - Name for the delivered file

    3. Port - Server port number

    4. Username - SFTP account username

    5. Password - SFTP account password

  3. Webhook

    1. Enter your Webhook URL

You can mix internal and external recipients in the same email scheduled delivery. External recipients do not need Fountain accounts to receive scheduled deliveries.

SFTP and webhook deliveries require technical configuration. Work with your IT team or system administrator to obtain the correct server credentials and webhook URLs.

Schedule a Single Tile Delivery

  1. Click the three dots (⋮) in the upper-right corner of the tile

  2. Select Deliveries and Alerts

  3. Follow the same configuration steps as dashboard-level scheduling

Tile-level schedules are useful when different stakeholders need different pieces of data on different schedules. For example, you might send hiring metrics daily but compliance reports weekly.

Manage Scheduled Deliveries

View and manage all scheduled deliveries from the Deliveries and Alerts panel.

View Existing Schedules

  1. Click File > Deliveries and Alerts

  2. Review the list of scheduled deliveries, which shows:

    • Delivery Name

    • Schedule Frequency (daily, weekly, monthly, etc.)

    • Owner - The user who created the schedule

Edit a Schedule

  1. Open Deliveries and Alerts

  2. Locate the schedule you want to modify

  3. Click Edit

  4. Make your changes (recipients, frequency, format, etc.)

  5. Click Save

Editing a schedule updates all future deliveries. Past deliveries are not affected.

Send a Scheduled Delivery Immediately

To send a scheduled delivery outside its regular schedule:

  1. Open Deliveries and Alerts

  2. Locate the schedule

  3. Click Send Now

The delivery is sent immediately and continues on its regular schedule.

Duplicate a Schedule

Create similar schedules quickly by duplicating an existing schedule:

  1. Open Deliveries and Alerts

  2. Locate the schedule to duplicate

  3. Click Duplicate

  4. Modify the duplicated schedule as needed (change recipients, frequency, or filters)

  5. Click Save

Delete a Schedule

To permanently stop a scheduled delivery:

  1. Open Deliveries and Alerts

  2. Locate the schedule

  3. Click Delete

  4. Confirm the deletion

Deleting a schedule permanently removes it and stops all future deliveries. This action cannot be undone.

Quick Access to Download and Schedule Features

For faster access to download and schedule features, use the shortcut buttons at the bottom right of any dashboard:

  • Download icon - Opens the dashboard download menu

  • Schedule icon (paper airplane) - Opens the Deliveries and Alerts panel
