Standard Analytics Dashboards

Overview of Fountain’s pre-built Standard Dashboards, including Hire, Onboard, and I-9 dashboards, and how to use them to monitor key metrics.

Standard Dashboards combine multiple visualizations into a unified view with shared filters. These pre-built dashboards are created by Fountain data experts to provide quick insights into the Fountain products you use.

About Standard Dashboards

Standard Dashboards are pre-built dashboards created by Fountain data experts to provide quick insights into specific parts of the Fountain products you use. These dashboards are available in the Hub and are based on which products you have access to.

Available Standard Dashboards:

Hire

If you have Fountain Hire (recruiting and hiring product):

  • Applicant Metrics: Overview of applicant counts, status breakdowns, and applicant trends

  • Calendar Performance: Calendar booking metrics and session data

  • Message Trends: Hiring message performance and engagement metrics

  • Opening Performance: Opening-level metrics and hiring funnel data

Onboard

If you have Onboard (new hire onboarding product):

  • Onboard Overview: Onboarding completion and progress metrics

I-9 Center

If you have I-9 Center (I-9 form management product):

  • I-9 Overview: I-9 form completion and compliance metrics

You will only see Standard Dashboards for products you have access to. For example, if you only use Fountain Hire, you'll see the four Hire-related dashboards but not Onboard or I-9 dashboards.

Accessing Standard Dashboards

From the Hub:

  1. Go to Analytics in the main navigation

  2. You'll land in the Hub by default

  3. Standard Dashboards are listed below your Hub folders

    1. Click on any dashboard to open it

Fountain Hire Standard Dashboards

Applicant Metrics

What this dashboard shows:

A high-level overview of how the applicants are progressing in the pipeline. It includes common themes of status breakdowns, trends over time, and key counts for decision-making purposes.

Common filters:

  • Opening Name

  • Location Group Name

  • Location Name

  • Brand Name

  • Applicant Created At

  • Workflow Name

  • Is Applicant Deleted

Key tiles and metrics:

  • Applicant Count - total applicants in the selected time period and their current status

  • In Process Count - applicants currently active in your funnel and their associated metrics

  • Hired Count - successfully hired applicants and their associated metrics

  • Rejected Count - applicants rejected and their associated metrics

  • Applicants by Current Status - line/area chart showing applicant volume over their created week by status

  • Rejected Reason - breakdown of the top rejection reason and the percent total

  • Applicant Count by Location and Opening - breakdown of pipeline by Location and opening by applicant status

  • In Process Applicant by Current Stage - breakdown of in-process applicants by stage, with median days idle

  • Top 50 UTM Sources - Tabular breakdown of the top 50 UTM sources on applicant volume with counts and rates for hired and rejected.

When to use this dashboard:

  • High-level monitoring of the applicant pipeline

  • Comparing performance across locations and/or openings

  • Monitor common rejection rates and reasons.

  • View applicant volume by UTM Source

Calendar Performance

What this dashboard shows:

High-level view of how the calendar is being booked and used by users.

Common filters:

  • Calendar Slot Start At Local

  • Location Name

  • Location Group Name

  • Brand Name

  • Workflow Name

  • Opening Name

Key tiles and metrics:

  • Time metrics on the time it is taking applicants to book in the selected time period

  • Metrics on Sessions Booked - comparing attendance marked in the selected time period

  • Openings without Availability - A tabular view of applicants who are in a scheduler stage without availability.

  • Calendar Availability - Reviewing availability in the next 14 days to compare to unscheduled applicants in the scheduler stage.

  • Upcoming Interviews - Reviewing applicants scheduled in the selected time period

When to use this dashboard:

  • Review if there is enough availability for applicants entering the scheduler stage

  • Review whether interviewers are marking attendance to evaluate show rates

  • View the upcoming scheduled sessions

Messaging Trends

What this dashboard shows:

High-level view of message usage inbound and outbound.

Common filters:

  • Opening Name

  • Location Group Name

  • Location Name

  • Message Created At

  • Brand Name

  • Workflow Name

Key tiles and metrics:

  • Message count - count of inbound and outbound messages

  • Weekly Outbound Messages by Status - Counts of outbound messages per week by message status.

  • Outbound Messages Top 50 Templates - Table of the top 50 message templates by message count and SMS segments.

  • Inbound & Outbound Messages with Applicants - Tabular breakdown of inbound and outbound message count and applicant message counts with delivery status and platform for the filtered time period.

  • Outbound Message Counts per Week by Type - Tabular breakdown of inbound and outbound message counts and applicant message counts with delivery status and platform for the filtered time period.

  • Error Message for Outbound Messages w Failed, Undelivered or Unknown Status - Table of error messages for outbound messages that have a status of failed, undelivered, or unknown

When to use this dashboard:

  • Review message usage

Opening Performance

What this dashboard shows:

High-level overview of opening configuration and workflow progression.

Common filters:

  • Location Group Name

  • Location Name

  • Opening Name

  • Brand Name

  • Workflow Name

  • Applicant Created At * note this filter only works on the Stage Metrics tile

  • Is Opening Active

Key tiles and metrics:

  • Product Setup - Count of workflows, locations, openings, and positions in the account

  • Opening Count - Number of openings compared to the count of openings currently marked as Active

  • Stage Metrics - Review of applicants progressing through stages in the selected time frame

When to use this dashboard:

  • Review the current openings.

  • Review stages that have a higher time in the stage than others for potential bottlenecks.

Onboard Standard Dashboards

Onboard Overview

What this dashboard shows:

View workers assigned to onboarding flows and review metrics on their completion times holistically.

Common filters:

  • Flow Assigned At

  • Flow Type

  • Flow Title

  • Is Flow Active

  • Task Type

  • Employment Status

  • Is Assigned Task Archived

Key tiles and metrics:

  • # Assigned Workers - Number of unique workers associated with an assigned Onboard flow.

  • # Workers 1 Flow Complete - Number of unique workers with at least 1 flow completed. Percentage of workers that have all tasks completed for at least 1 flow.

  • # Workers All Complete - Number of workers that have all assigned onboard flows complete. Percentage of workers that have all tasks for all assigned flows completed.

  • Completion Rates by Onboard Flow - Bar chart of worker onboard status by Onboard flow showing the percentage workers that have completed the flow. Mouse over will also display counts in each status.

  • WoW Completion per Flow by Assigned Week - Week-over-week trend of flow completion rate and workers assigned by the week the worker was assigned to the onboard flow.

  • Completion by Onboard Flow - Tabular metrics of completion rate and workers assigned by the onboard flow name.

  • Completion by Assigned Task - Tabular metrics of completion rate and workers assigned by the assigned task name.

When to use this dashboard:

  • Monitoring new hire onboarding progress

  • Identifying onboarding bottlenecks

  • Tracking completion rates across locations

I-9 Center Standard Dashboards

I-9 Overview

What this dashboard shows:

High-level counts of I-9 form completion status, compliance tracking, verification workflow, and E-Verify status.

Common filters:

  • Job Name

  • Location Name

  • Worker Start Date

Key tiles and metrics:

  • # Worker I-9 - Number of unique workers associated with an I-9 profile.

  • I-9 Time metrics - Median time for the phases of the I-9 to be completed.

  • I-9 Waiting Countersign - Number of workers’ current I-9s that are ready for countersign.

  • E-Verify Open Past Deadline - Number of I-9 form submissions that have an open E-Verify government status, the government status is not closed type or submission error, and the estimated deadline has passed. This includes all submissions, whether current or not, and all workers, whether in terminated status disabled or archived or not.

  • E-Verify Open Due next 7 days - Number of I-9 form submissions that have an open E-Verify government status, the government status is not closed type or submission error, and the estimated deadline is in the next 7 days. This includes all submissions, whether current or not, and all workers, whether terminated status disabled or archived or not.

  • E-Verify Submission Error - Number of workers’ current I-9 form submissions to E-Verify that have status of submission error to E-Verify. Submissions that are in 'submission error' status will not have a government case id assigned and evaluated until the submission error is resolved.

  • # I-9 Submittals with Non-Closed E-Verify Status - Number of I-9 with E-Verify status that is not closed or that have null E-Verify status. I-9 that are listed as "Is Current I-9 Submission = No" are previous submittals for workers which still require E-Verify closure action. This includes all submissions, whether current or not, and all workers, whether terminated status, disabled or archived or not.

  • I-9 Current Status Ratio - Number of unique workers by I-9 status.

  • I-9 Status Trend by Worker First Accessed Week and Current I-9 Status - Stacked bar trend showing number of workers that first accessed their I-9 and sliced by the I-9 current status.

  • Current Status by Location - Not Completed - Table of current I-9 status by worker's location with pivot by I-9 status and E-Verify status.

  • Workers w E-Verify Error - Table identifying I-9s having E-Verify errors requiring action, time when the initial E-Verify response was received.

  • Workers Pending Section 2 - Table identifying I-9s that are in Pending Section 2 Status.

When to use this dashboard:

  • Ensuring I-9 compliance across your organization.
