Work with I-9 Center status labels in Fountain Hire

I-9 Center status labels help you track and take action on a candidate’s I-9 progress directly from Fountain Hire. You can use these labels from places like the Applicant Table and Universal Applicant View to quickly understand where an applicant is in the I-9 process, open the related I-9 Center record, and complete the next required action.

Status labels are especially useful when your hiring team needs to monitor I-9 progress without leaving the main applicant management views in Hire.

Status Label Titles

I-9 Center status labels reflect the applicant’s current I-9 Center progress. The exact label and available actions depend on the applicant’s I-9 status, your I-9 Center configuration, and your user permissions.


Before you begin: I-9 Center in the hiring workflow

I-9 Center status labels in Fountain Hire are most useful when your organization has added I-9 Center as a stage in the hiring process. In this setup, the applicant reaches an I-9 Center stage in the Hire workflow, completes the required I-9 experience, and I-9 Center sends progress updates back to Hire. Those updates appear as status labels on the Applicant Table, Universal Applicant View, and Applicant Profile.

This is different from using I-9 Center only as a task in an Onboard flow:

  • I-9 Center as a Hire stage: The applicant completes I-9 as part of the hiring workflow in Fountain Hire. Hiring teams can monitor progress from Hire, use I-9 status labels to open related I-9 Center actions, and decide when the applicant is ready to move to the next hiring stage.

  • I-9 Center as an Onboard task: The worker completes I-9 as part of an onboarding flow in Worker Experience. This is useful when I-9 completion is managed after the person has entered onboarding, but the applicant’s I-9 progress may not be surfaced in the same way on the Hire Applicant Table or Universal Applicant View unless the Hire workflow is connected to I-9 Center.

If your team wants to manage I-9 progress directly from the Applicant Table or Universal Applicant View, add I-9 Center to the appropriate Hire workflow as a stage and confirm that applicants are routed through that stage.


Where I-9 Center status labels appear

You may see I-9 Center status labels in Fountain Hire wherever applicant status labels are displayed, including:

  • Applicant Table

  • Universal Applicant View

  • Applicant Profile

For example, an applicant may display an I-9 Center label such as I9 Form: Complete. Selecting the label opens a menu with available I-9 Center options.

You may also see an I-9 Center task label associated with the applicant’s I-9 Center step. Selecting the label opens a menu with options such as Employer Portal or Partner Details.


What you can do from an I-9 Center status label

Depending on the applicant’s current status, the label menu can help you:

  • View the applicant’s I-9 form

  • Open the applicant’s I-9 Center worker profile

  • Review I-9 Center partner details

  • Complete or review employer-side actions

  • Restart or request a redo when an I-9 needs to be corrected

  • Check whether the applicant is ready to move forward in your hiring workflow

The available options may vary by status. For example, a completed I-9 may show options to view the form, while an in-progress or action-needed I-9 may show options that help you complete the next required step.


Open an I-9 Center status label

  1. Go to Fountain Hire.

  2. Open the relevant Opening or go to Universal Applicant View.

  3. Find the applicant.

  4. Locate the applicant’s I-9 Center or I-9 Form status label.

  5. Select the status label.

  6. Choose the action you want to take from the menu.


Common status label actions

View Form

Select View Form to open the applicant’s I-9 form or related I-9 record.

Use this option when you need to:

  • Review what has been submitted

  • Confirm whether the I-9 is complete

  • Check the applicant’s I-9 details before moving them forward

  • Review an I-9 after a status changes to complete or action required

If the applicant’s I-9 is still in progress, the form may not be fully complete yet.

Employer Portal

Select Employer Portal to open the applicant’s I-9 Center experience in the employer portal.

Use this option when you need to manage the applicant’s I-9 Center record, review progress, or complete employer-side tasks such as Section 2 review.

Depending on the applicant’s status and your permissions, the employer portal may allow you to:

  • Review the worker’s I-9 progress

  • Complete Section 2

  • Review E-Verify-related items, if E-Verify is enabled

  • Take follow-up action on an I-9 record

  • View available worker history or activity

Partner Details

Select Partner Details to view additional I-9 Center partner information connected to the applicant’s Hire record.

Use this option when you need to confirm how the applicant’s I-9 Center status is being reflected back into Fountain Hire.

Partner details can be helpful when you are troubleshooting status visibility or confirming whether the I-9 Center step is returning the expected status to Hire.

Applicant Re-do

Select Applicant Re-do when the applicant needs to redo their portion of the I-9 process.

Use this option when the applicant-submitted portion needs to be corrected or completed again. After a redo is requested, the applicant may need to return to their I-9 task and resubmit the required information.

Common reasons to request an applicant redo include:

  • The applicant entered incorrect information

  • The applicant needs to resubmit part of the I-9

  • The applicant’s I-9 process needs to be restarted from the applicant side

User Re-do

Select User Re-do when the employer-side portion needs to be redone.

Use this option when a Fountain user or employer reviewer needs to correct or redo their part of the I-9 process, such as employer-side review information.

Common reasons to request a user redo include:

  • Employer-side information was entered incorrectly

  • Section 2 information needs to be corrected

  • The reviewer needs to redo an employer-side action before the I-9 can be completed
