Referral incentive reports allow you to share incentive payout data with your Payroll team on an automated schedule. Recipients receive an email with a CSV attachment and can bulk-update incentive statuses directly from the email with no Fountain login required.
Reports are managed from the Incentives page within Referrals. Two report options are available:
Recurring reports — Scheduled reports delivered automatically at a set frequency (daily, weekly, or monthly)
Send report — A one-time report sent immediately on demand
Create an Incentive Report
Create a Recurring Report
Click Referrals in the left sidebar, then click Incentives.
Click Recurring reports in the top right, then select Create a report.
In the Create recurring report modal, enter a Report name.
Under Report Includes, select one or more incentive statuses to include in the report. Options are: Owed, Pending, Paid, Ineligible, and Churned. You can select multiple statuses.
NOTE: To focus your Payroll team on workers who need their payroll updated, select only Owed.Optionally, use From these referring workers' locations to filter the report to specific Locations.
Optionally, use From workers in these positions to filter the report to specific job positions.
In the Email report to field, enter the email addresses of the recipients. Press Enter after each address. Recipients do not need to be Fountain users.
Under Send, select the delivery frequency: Daily, Weekly, or Monthly.
For Weekly reports, select the day of the week and a time.
For Monthly reports, select the day of the month and a time.
The modal displays a preview of the next scheduled send date and time based on your selections.
Click Create scheduled report.
A success banner confirms the report was created.
Send a One-Time Report
To send a report immediately without creating a recurring schedule:
Click Referrals in the left sidebar, then click Incentives.
Click Send report in the top right corner.
In the Send a report modal, enter a Report name.
Under Report Includes, select the incentive statuses to include.
Optionally filter by From these referring workers' locations and From workers in these positions.
Enter recipient email addresses in the Email report to field and press Enter after each.
Click Create report.
The report is sent immediately to all specified recipients.
Manage Reports
The Reports page provides an overview of all recurring reports you have created. To access it:
The table displays each report's name, included statuses, last sent date, send schedule, and recipients.
To take action on a report, click the ··· (more options) button at the end of the row. The following options are available:
Edit — Modify the report's name, filters, recipients, or schedule
Delete Report — Permanently remove the report
Export — Download the report data as a CSV
View Details — Open the report detail page
View Report Details and Audit Log
Clicking View Details from the Reports table, or clicking directly on a report name, opens the report detail page.
The detail page displays:
The report name
The send schedule
The statuses included in the report
The recipient(s)
An Audit Log table showing the history of all sends for this report
The Audit Log table includes the following columns: Event, Date, Recipients, Run Type, and Attachments. Each row represents a single report delivery. Click the download icon in the Attachments column to download the CSV from that send.
From the detail page, you can also:
Click Edit to modify the report
Click Send to trigger an immediate one-time send of this report
Click Export to download the current report data
Click Delete to remove the report
What Recipients Receive
When a recurring or one-time report is delivered, recipients receive an email from [email protected]. The email includes:
A summary of the report date and the statuses included
A note that referrer status changes after the report date are not reflected in the attached CSV
A CSV attachment containing the incentive records matching the report criteria
An Update Bonuses Owed to Paid button
Update Bonuses Owed to Paid
If the recipient is a Fountain Referrals user, clicking Update Bonuses Owed to Paid in the email redirects them to the Incentives page where they can bulk-update all Owed incentives to Paid.
Non-Fountain user recipients
Recipients who are not Fountain users can still use the CSV attachment to process payments in their payroll system. Only Fountain Referrals users can use the Update Bonuses Owed to Paid button to update statuses directly.
When updating statuses from the Incentives page, a confirmation modal appears asking you to confirm the status change from Owed to Paid. Click Yes, update status to confirm, or No to cancel.
