Track Your Referrals Incentives

The Incentives table is where you can view and manage all incentives tied to your Referrals campaigns.

Having issues? If you are having issues seeing information in the Incentives table, contact your Fountain Customer Success contact to see if they need to adjust the configurations in your Fountain account. You must have Fountain's Hire WX Connector configured for the Incentives page to work correctly.


Incentive Information Tiles

At the top of the Incentives page, there are tiles with incentive information.

Tile

Description

Bonus Pending

Shows the total amount that will potentially be paid out. This is based on the number of referred employees that have been hired but have not yet completed the payout condition requirements such as 30 or 60 days past their start date.

Bonus Owed

Shows the total amount that is owed to your employees who referred employees who were successfully hired. This is based on the number of referred employees that have completed the payout condition requirements. These employees who referred these new hires are still owed their financial incentive.

Bonus Paid

Shows the total amount of incentives paid out. This is based on the number of existing employees that have successfully referred a new hire, and have had a user mark their bonus as “Paid”.

Ineligible

Shows the total amount of incentives that are ineligible to be paid out. An employee whose referral met payout conditions, but who was no longer active or manually marked “ineligible” due to performance issues, will have a bonus status of “ineligible”.

Churned

Shows the total amount of incentives that are ineligible to be paid out due to churn. This is based on the number of referred employees who were terminated before they met their payout condition. Referred workers who become inactive after the payout condition is met will not be marked as Churned.

To find a specific referred employee or employee that is related to the referral in the table, use the Search in the top right corner.

Tip!

If you are having issues searching, check if you have an information tile selected. If you have a tile selected, you are only searching within that tile. Try unselecting the tile to search through your full pipeline.


Incentive Table Columns

Below the Incentive information tiles, you'll see a list of incentive records based on which tile you've selected. If you do not select a tile, you will see all records. The table includes the following columns:

Column

Description

Incentive recipient name

The name of the person receiving the incentive payout — either the referring worker, the referred applicant, or both (displayed as separate rows).

Referring worker name

The name of the worker who made the referral.

Referring worker email

The email address of the referring worker.

Referred applicant name

The name of the person who was referred.

Incentive

The cash value of the incentive for this record.

Status

The current incentive status: Pending (purple), Owed (amber), Paid (green), Ineligible, or Churned.

Payout condition

The condition that must be met for the payout to trigger. For incentives with multiple milestones or OR conditions, this column displays Multiple. Click the row to view full payout condition details.

Payout condition met on

The date the payout condition was satisfied. Blank for Pending records; populates automatically when the condition is met.

Multiple Incentive Blocks

When a campaign has multiple incentive blocks, each block generates its own row in the Incentives table — one per recipient per milestone. For a double-sided, two-milestone campaign, you will see four rows for a single referral: two recipients × two milestones

Conditional Incentives in the Table
When conditional incentives are configured on a campaign, two additional columns are available in the table:

  • Payout condition: Displays a summary of the conditions that must be met for the incentive to be owed. If a record has multiple condition blocks, this column shows Multiple.

  • Payout condition met on: Displays the date on which all conditions were met and the incentive status updated to Owed. This field is empty while the incentive status is Pending.

To edit the columns, click the Columns button towards the right. You can add or remove columns by checking or unchecking boxes and then clicking Apply. Reset your columns by clicking the Reset button.

View Incentive Details

To view the full details of an incentive record, click any row in the Incentives table. An Incentive Details panel opens on the right side of the screen.

The panel displays the following information under Information:

  • Incentive Status — the current status of this incentive record

  • Worker — the name of the incentive recipient

  • Referral name — the name of the referred applicant

  • Location — the location associated with the referral

  • Payout condition — the full payout condition for this record, displayed in plain language (e.g., "90 days after hire" or "1 days after hire or 1 shifts completed")

  • Payout condition met on — the date the condition was satisfied, if applicable

An Activity section is also available, which can be expanded to view the history of status changes for this record.


Understanding Automatic Status Updates

Many of the statuses that you see on this table are automatically triggered based on values saved in your employees’ Worker Profiles. These values include employee hire, start, and termination dates. Review the table below to learn more:

How It's Used

Hire Date

Used to calculate when the payout condition for days after hire is triggered. This value is automatically saved when the referred applicant moves into the Approved stage in Fountain Hire. If your account is not set up to automatically transfer applicants from Hire to Worker Experience, then the hire ).

Start Date

Used to calculate when the payout condition for days after start is triggered.

Shifts Completed

Shifts Completed (or relabeled unit of work) | Used to calculate when the payout condition for # shifts completed is triggered. The label in the Incentives table and worker-facing content reflects whatever unit of work is configured in your Worker Attributes settings — for example, "calls completed" or "deliveries completed." |

Termination Date

Used for triggering a status update to either Ineligible or Churned, depending on whether the referred worker or referring worker is terminated.

If there was a change with any of the payout condition-related attributes, you can manually update a worker’s attributes by following the steps below:

  1. Click on the employee’s name to be brought to their Worker Profile.

  2. Click Actions and then Edit in the dropdown.

  3. Scroll down to the relevant fields - e.g. Hire Date, Start Date, Termination Date, and Shifts Completed fields. Make applicable changes.

  4. Click Save. The automatic update should occur on the Incentives table.

Bonus Owed

If the campaign’s payout condition is met, then the employee who made the referral will have a status that updates from Pending to Owed.

A campaign is created with a payout condition of 30 days after Hire Date. A referred worker is hired on October 1st - their Hire Date. This date is automatically saved in their Worker Profile. On October 31st, the incentive status will automatically update to Bonus Owed.

Ineligible

  • Campaigns with a payout condition related to Hire Date will require both a Hire Date and termination date saved to the referred employee’s Worker Profile.

  • Campaigns with a payout condition related to Start Date will require both a Start Date and termination date saved to the referred employee’s Worker Profile.

An employee named John refers Maggie to an Opening connected to a campaign that has a payout condition of 30 days after Hire Date. Maggie is hired and her Worker Profile automatically saves her Hire Date as August 1st. John leaves the company on August 15. John’s status is automatically updated from Active to Terminated. The referral record’s status is updated to Ineligible.

Churned

  • Campaigns with a payout condition related to Hire Date will require both a Hire Date and termination date saved to the referred employee’s Worker Profile.

  • Campaigns with a payout condition related to Start Date will require both a Start Date and termination date saved to the referred employee’s Worker Profile.

An employee Sarah refers Paul to an Opening connected to a campaign that has a payout condition of 20 days after Start Date. Paul is hired and starts on May 1st. His Start Date is automatically saved in his Worker Profile. Paul leaves the company and his status is updated via API to Terminated on May 12th. The referral record’s status is updated to Churned.


Manually Updating Incentive Records

To manually update multiple incentive records, check the boxes to the left of the referred employees’ names and then click either Mark as paid, Mark churned, or Mark ineligible in the menu that appears at the bottom of the table.


Filter By Time

Outside of clicking on the information tiles at the top, you can also use the All time filter button in the top right to employees from a specific time period. Choose from quick options like last 7 days or this week or you can choose a specific time period by clicking on dates on the calendar or typing in the ‘From’ and ‘To’ fields. Click Apply when finished selecting your filter criteria to see the results.


Exporting

To export a CSV of all of your full list of referred employees, simply click the Export button in the top right corner. The download will be available in your web browser.

Recurring Reports

To Recurring reports allow you to automatically deliver incentive data to your Payroll team's inbox on a set schedule — no Fountain login required for recipients. You can also send a one-time report on demand.

One-time Incentive Report
To send a one-time report immediately without setting up a recurring schedule, click Send report in the top right corner of the Incentives page.


Conditional Incentive Details

When a campaign uses conditional incentives, the Incentive Details panel provides additional visibility into the conditions attached to each record.

How it works:
Click on a referred applicant's record in the Incentives table to open the details panel. The Information section displays the full payout condition in human-readable format — for example, "30 days after hire date and certifications_licenses is rbs_certified." Time-based conditions are highlighted to distinguish them from attribute conditions. The Payout condition met on field populates once all conditions for that incentive block are satisfied.

Status progression with conditional incentives:

  • Pending: The referred applicant has been hired, but not all payout conditions for this incentive block have been met yet.

  • Owed: All payout conditions — both time-based and attribute-based — have been met. The Payout condition met on date populates.

  • Paid: The incentive has been processed and marked as paid.
