Anna Data, Retention, and Integrations

Understand Anna result data, retention considerations, and integration options.

Overview

Anna (AI Recruiter) generates structured interview results that can be reviewed in Fountain and, depending on configuration, shared with other systems.

This article explains common result fields, where to find them, retention considerations, deletion requests, and integration options.

Most of the below settings can be found by going to the AI Interview Management page by doing the following:

  1. Go to Opening's Workflow Editor

  2. Click the AI Interview stage

  3. Click Manage integration

  4. Select the job opening from the list of job's with an AI Interview

  5. Use the three tabs at the top of AI Interview Management: Configuration, Interviews, Insights


Anna Result Data

Anna may generate:

  • Overall score, on a 1 to 5 scale

  • Interview status and decision

  • Interview summary

  • Promoter reasons and detractor reasons

  • Qualification-level assessment, rated Yes, Unknown, or No, with a comment for each qualification

  • Transcript

  • Recording

  • Data extraction fields, if configured

  • Interview integrity flags, if enabled


Where Results Appear

Results appear in three places.

  • Applicant profile. Expand the AI Interview stage section to view the report, transcript, recording, and score for one candidate.

  • Interviews tab. In AI Interview Management, a job opening's Interviews tab lists every candidate with their overall score and a column for each configured qualification. Filter by minimum score or decision, or search transcripts and contacts.

  • Insights tab. Aggregate reporting for a job opening over a selected date range, including completion rate, average interview duration, total interviews conducted, interviews over time, score distribution, and interview decisions by score.


Export Results

Within the AI Interview Management page, the More settings menu includes Export interviews to CSV, which produces a file of interview data for that opening.

In the same menu, but switching to the Interviews tab, individual interview records have a Share action for passing a single result to someone else.

Downloadable formatted reports and PDF exports may vary by account and product availability. If your team needs a specific report format, confirm the supported workflow with Fountain before committing to a process.


Data Extraction Fields

Data extraction fields capture structured information from interviews, such as years of experience, certifications, or availability. Define fields in settings, then add them to a job type so they apply to every job opening using that type.

Anna's overall score is the supported scoring signal. Do not use data extraction fields to build unofficial sub-scores without confirming the compliance implications with Fountain.


Integrations and Programmatic Access

Settings include an Integrations page, plus self-serve Webhooks and API keys for building your own connection to systems such as Workday or another HCM.

Common integration patterns include:

  • Real-time webhooks

  • API-based result retrieval

  • Batch file exchange

  • Professional services integration work

Supported fields and formats vary by account and implementation. Contact your Fountain representative to scope integration requirements.


Notifications and Slack

Notification settings on a job opening control who is told when an interview is completed.

Email can be sent to all teammates in your organization, to job opening owners, or only to recipients you specify. You can add individual teammates or distribution lists as additional recipients, and set the frequency.

Slack can be enabled to send a notification when interviews are completed, posted to a target channel you select. Each completed interview sends an interview summary and a link to the full transcript.

You can find both of these settings by going to Manage Integration (from the Workflow Editor), selecting the job opening from your list of AI Interviews, and scroll to the bottom of the AI Interview settings.

Treat both as access decisions rather than convenience settings. Anyone in the target Slack channel, and anyone on a distribution list, can read interview content for every candidate in that opening.


Data Retention

Retention may depend on:

  • Customer contract terms

  • Account configuration

  • Legal or regulatory requirements

  • Data type, such as transcript, recording, score, or application data

  • Customer-requested retention preferences

Contact Fountain Support or your account team for account-specific retention details. Do not assume a universal default retention period.


Submit a Deletion Request

Deleting Anna interview reports, transcripts, recordings, or video assessments is not currently a standard self-serve admin action.

If a deletion is required, contact Fountain Support with:

  • Candidate name or ID

  • Candidate email or phone number

  • Opening name

  • Interview date

  • The specific data to delete

  • Reason for the request

  • Any required deadline

Fountain Support will confirm the available deletion process for your account.


Model Training and Subprocessors

Anna is designed so customer and candidate data passed through the system is not retained by model providers for training.
