Fountain Hire’s frontline companion experience Hire Go helps meet hiring goals faster while massively dropping the burden on corporate HR teams. With Hire Go, empower your frontline Hiring Managers to own their hiring needs!
In order for Hire Go to work as intended, the Fountain Implementation team will work with you to set up your Fountain Hire account workflows and Openings. Once initial Openings are created, your Hiring Managers will activate the Openings in their Hire Go account.
In this article, we’ll discuss the necessary steps to launch Openings, set Hire Go user Opening and location access, navigate to Hire Go from Fountain Hire, and monitor Hiring Goals/Targets.
Considerations
If you are interested in using Hire Go with your account, please consider the following:
If your company has a centralized HR team AND frontline Hiring Managers, you should absolutely have your Hiring Managers use Hire Go while your HR team uses the traditional Fountain Hire platform. Cut out the unnecessary complexity of Fountain Hire and give your Hiring Managers what they need; a simple system that allows them to hire fast!
Hire Go supports many, but not all, Fountain Hire workflow stages and configurations. Your customer success team will review your hiring workflows and suggest configuration updates as part of implementing Hire Go.
If your company is also looking for sourcing and hiring help, the Fountain team can provide these services in addition to the Hire Go app. Contact your Fountain Customer Success contact or review the Assist Fountain website for more information.
Hire Go helps frontline hiring managers independently manage their hiring cycles, based on the workflows and processes that Administrators have set up for them. Those setup and configuration activities – like creating workflows, writing job titles or descriptions, or adding positions and/or locations – are configured in Fountain Hire and not editable within Hire Go.
Administrative Implementation
During the implementation of Hire Go, the Fountain Implementation Team will help configure your company’s hiring workflows so that they work successfully with the Hire Go companion experience. Your Implementation Manager will help you:
Understand Fountain's Hiring Goals which will be managed and adjusted as a Hiring Target for Openings in Hire Go. These are key success metrics used in the companion experience for your Hiring Managers and will be visible for account Administrators on the Openings screen in Fountain Hire.
Collaborate with your company to create or adjust Fountain Hire workflows so that they work well with Hire Go. For example, if you currently have three separate interviews in your hiring process, they will work with you to consolidate these interviews into one Scheduler stage.
Determine how Hire Go users will access the app. Hire Go offers the ability to log in via SSO or directly through the go.fountain.com website. Your Implementation Manager will help determine which is the best fit for your company’s needs.
Invite users and assign user roles for Hire Go users.
Inviting Users and Setting Permissions
Users will access Hire Go either through an email invitation or via SSO. If they are invited via email, their account will be automatically created the first time they log in after creating a password. For companies using SSO, the Fountain Implementation team will help create your user accounts.
Regardless of how users access Hire Go, a Fountain Hire user account will also be automatically created for all Hire Go users to allow Administrators to assign location and Opening access.
Pending User Invitations:
To check if your users have accepted their Hire Go email invitation, go to the Users screen in Hire Go. Learn more about the Users page later in this article.
To assign access to a Hire Go user, follow the steps below in Fountain Hire:
Click your initials icon in the top right corner of any Fountain page. Then click Company Settings in the dropdown.
Click Users in the left side panel under General Settings.
Find the Hire Go user in the list. Remember, for companies not using SSO, if you do not see the user they likely have not yet logged into Hire Go. Therefore, the Hire account has not been created.
Click the Actions button to the left of the user’s name. Then click Edit in the dropdown.
Click Manage opening and stage access to restrict the user's private Opening access. Check or uncheck the boxes to the left of the Location name or Opening's name. You can also choose to give access to all private Openings by checking the box to the left of Access All.
If the user will also be using Fountain Hire, you may also want to change the User Role via the dropdown or assign Custom Permissions. Please note the User Role and Custom Permissions options only apply to Fountain Hire functionality.
Click Save when finished.
Important Note:
When Hire Go-enabled Location Groups, locations, or Openings are created by an Administrator in Fountain Hire, the user will select an owner for these items as part of the creation process.
It is important to note that Location Group, location, or Opening owners will supersede settings on the Opening Access page. This user will automatically have access to Openings that fall under this ownership and the option to deselect access will be grayed out.
Additionally, there is a hierarchy of Location Group, location, and Opening ownership:
If the user is a Location Group owner, they will have access to all Openings that fall in that Location Group by default regardless of the user's Opening Access settings.
If the user is a location owner, they will have access to all Openings in that location by default regardless of the user's Opening Access settings.
If the user is an Opening owner, they will have access to that Opening by default regardless of the user's Opening Access settings.
Hire Go Users Screen
Administrators on the account will also have access to the Users screen.
Here you can see all of your users, their assigned roles, and how many locations they have access to. You will also see if they have accepted their Hire Go email invitation for companies not using SSO.
There are 3 types of permissions in Hire Go:
Admin: Administrators in your company that will help manage Hire Go within Fountain Hire.
Member: Typically Hiring Managers who do not have access to Fountain Hire and will only use the Hire Go app.
Fountain Admin: The Fountain Implementation and support teams who help set up your account and support Hire Go users.

Accessing Hire Go via Fountain Hire
Most Hire Administrators will also have access to Hire Go. There are times when you may want to go to the Hire Go app to help your Hiring Managers. To access Hire Go quickly from Hire, follow the steps below:
Once logged in to Fountain Hire, click Applicants in the top toolbar then click either Applicant Table or Universal Applicant View in the drop-down.
Find an applicant and click the 3 dots action button to the left of their name. Then click View Applicant in Hire Go in the menu. This will bring you to the applicant’s profile in Hire Go.
If you need to navigate to another screen in the Hire Go app, simply exit out of the applicant’s profile.
Visible Stages in Hire Go
Although the Fountain Implementation team will help you set up your initial Openings, you may want to create new Openings and workflows after the initial implementation.
When adding new Openings or creating new workflows you will need to enable certain stages to be viewable and potentially actionable for your Hiring Managers in Hire Go. Hire Go was built to tune out the noise for Hiring Managers and truly give them only what they need in order to hire candidates. This means not all stages in the hiring workflow will be visible in Hire Go.
In order for Hiring Managers to view or potentially take action on applicants within stages (depending on the stage type), you need to make the stage viewable via Fountain Hire stage settings:
Log in to Fountain Hire.
Open the Workflow Editor for the workflow that has stages you want to include in Hire Go.
Click on the applicable stage in the left list of stages.
Scroll to the Advanced Settings section.
Toggle on the Show stage in Hire Go toggle.
Click Save Changes in the top right corner.
Important Note:
Not all stages are compatible with Hire Go. The following stage types are not fully Hire Go compatible, meaning applicants in those stages will be visible in Hire Go, but the main functionality of the stage type is not Hire Go compatible:
Partner Integration stages - applicants are visible but partner-provided data such as background check results are not visible.
Live Video - applicants are visible but live video recording cannot be hosted or actioned in Hire Go.
Video Recording - applicants are visible but recorded videos are not.
Assessment - applicants are visible but assessment scores are not.
Additionally, the only stages that can be actioned by Hiring Managers in Hire Go are Scheduler and the Hire Go Review stage types. Hire Go can also only support one Scheduler stage to be go-enabled.
Hire Go Review Stage
In addition to adding stages to Hire Go via the show stage in Hire Go toggle, there is a special stage type only available within Fountain Hire accounts also using Hire Go. This Review stage allows your Hiring Managers to review and advance candidates forward via the Hire Go app.
To add the Hire Go Review stage type, follow the steps below:
Access the Workflow Editor for the Opening and workflow you want to add the Review stage to.
Click Add Stage in the top left corner.
Type a title for the stage such as Hiring Manager Review, select the Review Stage option in the Stage Type dropdown, and determine the placement of the stage. Fountain recommends adding this stage before the Hire Go Scheduler stage.
Click Add Stage.
Once the stage is added, you can add optional instructions. These will be visible in Hire Go when a user actions applicants in the review stage. For example, you may add something like, “Review applicant before advancing to the Hiring Manager interview. You will make a decision to Advance or Reject the applicant.”
You can also add a Review Questionnaire. This will prompt Hiring Managers to answer specific questions before they decide to Advance or Reject the applicant.
To add a questionnaire question, follow the steps below:
Click +Add question.
Type a question title
Add an optional hint such as “enter pay as a whole number with no special characters”.
Select a question type. You can select a free text submission, multiple choice, or date picker.
Type a Data Key. Data Keys are the unique identifier attached to the question. Different Data Keys are required for different questions. You cannot create a Data Key that has previously been created or used in a Data Collection stage in your workflows. Data Keys must be all lowercase and use underscores instead of spaces.
Click Save Changes.
Finally, set up Idle Move Rules and determine if you want this stage visible to applicants in their Applicant Portal. Learn more about Idle Move Rules by reviewing this article.
Reviewing Hiring Goals
Hiring Goals, called Hiring Targets in Hire Go, help you optimize recruitment performance by tracking hiring progress against goals. These will be set by your Hiring Managers when activating Openings in the Hire Go app. They will be visible to Hiring Managers on the Hire Go Openings screen but also visible to Hire Administrators on the Hire Openings page.
To see Hiring Goals/Targets, simply click Jobs in the top toolbar of any Fountain page and then Openings in the dropdown. Here you’ll see a list of active and inactive Openings. Hiring Goals/Targets are listed to the far right.
Once a Hiring Goal/Target is met, the Opening will automatically turn to inactive and will no longer be advertised to applicants! Hiring Managers can re-activate the Opening via Hire Go when a hiring need arises in the future.
Best Practices
As an account Administrator, it is important to help your Hiring Managers utilize the Hire Go app to its potential. In order to support them, Fountain recommends following the best practices outlined below:
Ensure new users set up Hire Go availability: when Hire Go users first log in, they will be prompted to add their interview availability which can be updated later via the Availability screen. It is important to remind your Hiring Managers to add this availability because applicants will be booking time with them for interviews based on this availability. They also will not be able to activate Openings if their availability isn’t entered.
Ensure Hiring Managers successfully connect your company’s Indeed account: Hire Go allows Hiring Managers to promote their job Openings on Indeed through the Hire Go Indeed integration. When first accessing the Promote screen, they will be prompted to log in to your company’s Indeed account. Ensure your Hiring Managers have these credentials so they are not blocked from posting on Indeed.
Ensure instructions are added to interview stages: Each Opening will have its own Settings screen which is tied to the Scheduler stage. Here Hiring Managers can change the host, duration, and add instructions for the interview. It's important that Hiring Managers add instructions to help applicants get to the interview and bring any necessary documents.
Encourage Hire Go applicant communication: Hire Go allows Hiring Managers to directly text applicants through the Hire Go app in the applicant’s profile. By using this method of communication, the Hiring Manager is not giving out their direct number to applicants. Rather, this is routed through the Hire Go app, and a preset number that is determined during implementation.
Empower Hiring Managers to activate their own Openings: Hire Go makes it easy to activate new Openings via chatting with the Hire Go AI assistant. Hiring Managers don’t need to wait to start hiring.
