Hire Go Administrator Setup Guide

How to configure user roles and access, enable Openings for Hire Go, and build Hire Go-compatible Workflows.

Hire Go is a mobile-first web application (access it from your web browser, not the app store!) built for frontline hiring managers to manage their day-to-day hiring tasks. As a Fountain administrator, you are responsible for the setup that makes Hire Go work for your team: configuring user access, enabling Openings for Hire Go, and building Workflows that support the hiring manager experience.

This article covers the three core areas of Hire Go administration:

Hire Go is not a replacement for Fountain Hire
Account setup, administration, and bulk applicant management are handled in Hire by HR admins and recruiters. Hire Go gives frontline hiring managers access to only the hiring tasks they're responsible for.


Who Can Administer Hire Go

The following users can invite and manage Hire Go users:

  • Any user with the Admin role in Fountain

  • Any user with a User Role that includes the Manage users permission for Hire Go

Users with the Manage users permission enabled on their Role will see a Users navigation item in Hire Go.


Set Up User Access

Step 1: Configure User Roles in Fountain

User Roles in Fountain control which Fountain products a user can access — including Hire Go. Before inviting any Hire Go users, ensure your User Roles are configured with the appropriate product access.

To check or update a User Role to grant access to Hire Go:

  1. In Fountain, click your account icon in the bottom left and select Settings.

  2. Under Users, select Roles & Permissions.

  3. Locate the Hire Go section in the permissions list on the left, and click to expand it.

  4. In the Can access Hire Go row, click the ✕ under the role you want to update to toggle it to a .

    1. To also allow users in this role to invite and manage other Hire Go users, toggle Can manage users in hire go to a as well.

  5. Click Save.

Step 2: Invite Users to Hire Go

Users can be added to Hire Go in two ways:

  • Directly in Hire Go
    This automatically creates a matching user record in Fountain.

  • Via Fountain Settings > Users
    If you want to create a Hire Go user in Fountain's platform Settings > Users section, you must choose a role for the user that has Hire Go permissions enabled.

Invite from Hire Go

  1. In Hire Go, click Users in the left navigation.

  2. Click + Invite.

  3. Enter the user's email address, or paste a comma-separated list of addresses to invite multiple users at once. Press Enter to accept each address.

  4. Select a User Role for each user. The Role determines what level of access the user has within Hire Go. When inviting users via Hire Go, only User Roles with Hire Go access will appear for selection. You won't see any User Roles that might exist in your account but which do not include Hire Go product access.

  5. Click Send Invitation.

Inviting Hire Go-only Users
If a user only needs access to Hire Go and not other Fountain products, invite them through Hire Go rather than Fountain's Settings > Users section. When invited this way, the user will only receive an invite to Hire Go. A general Fountain user record is still created for them automatically in the background to support access management.

Invite from Fountain Platform

Users who need access to both Hire Go and the Fountain platform can be invited from Fountain's Settings > Users section. For instructions on inviting users in Fountain Hire, see User Access.

When inviting a user who needs access to both the Fountain platform and Hire Go, ensure their User Role has all necessary products enabled.

Step 3: Set Opening and Location Access

Hire Go users only see Openings they have been granted access to. For accounts using public Openings, all Hire Go users can see all Openings — no additional access configuration is needed. For accounts using private Openings, is configured in Fountain Hire.

All Opening and Location access for Hire Go users is managed from Fountain Hire rather than within Hire Go.

For accounts with private Openings, you can set direct Opening access for a Hire Go user following these steps:

  1. In Fountain Hire, navigate to Company Settings > Users.

  2. Find the user and click Actions > Manage Opening Access.

  3. Set the appropriate Location and/or Opening access for the user.

  4. Click Save.

A Hire Admin user has access to all Hire Go-enabled Openings across all Locations by default. SSO is also compatible with Hire Go for accounts that manage user authentication and access via SAML SSO.


Enable Openings for Hire Go

Only Openings with Hire Go enabled are visible to hiring managers in Hire Go. This allows your organization to manage some Openings exclusively in Fountain Hire — such as professional or management roles — while surfacing frontline Openings to hiring managers in Hire Go.

An Opening must be created in Fountain Hire first, and then enabled for Hire Go separately. Hire Go cannot be enabled during the Opening creation flow.

Prerequisite: Compatible Workflow

Before enabling an Opening for Hire Go, the Opening must be linked to a Hire Go-compatible Workflow. A compatible Workflow must include exactly one Scheduler Stage with Fountain Hire Go Users set as the interview hosts. If the Opening's Workflow does not meet this requirement, the Opening cannot be enabled for Hire Go.

Enable Hire Go on an Opening

There are two ways to access the Job Details editing screen for an Opening:

From the Openings list:

  1. Navigate to Openings.

  2. Find the Opening and click the More Actions icon (⋯).

  3. Click Edit Job Details.

From the Applicant Table:

  1. Navigate to the Opening's Applicant Table.

  2. Click Settings.

  3. Click Edit Job Details.

Once in Job Details:

  1. Scroll to the bottom and expand Advanced Options.

  2. Check the Enable Opening in Hire Go checkbox.

  3. Click Save.

The Opening will now appear in the corresponding Hire Go account for users who have access to that Opening or Location.

If an Opening is currently Active when you enable it for Hire Go, it will be set to Inactive automatically so that a Hire Go user can activate it from within Hire Go.

After enabling an Opening for Hire Go, verify that your Hire Go users have access to it by reviewing their Opening and Location access in Company Settings > Users in Fountain Hire.


Build a Hire Go-Compatible Workflow

A Workflow must meet one requirement to be compatible with Hire Go: it must include exactly one Scheduler Stage with Fountain Hire Go Users set as the interview hosts.

This Scheduler Stage setup is what connects the Workflow to Hire Go and makes the Opening eligible for Hire Go enablement.

Set Up the Go-Enabled Scheduler Stage

  1. Navigate to the Workflow in Fountain Hire.

  2. Add a Scheduler Stage or open an existing one.

  3. In the Interviewer Host section, select Fountain Hire Go Users.

  4. Click Save.

When Fountain Hire Go Users is set as the host, the Move applicant to next stage after booking a session setting is automatically turned off. This keeps applicants in the Scheduler Stage until the hiring manager manually advances or rejects them — rather than automatically progressing them through the Workflow after booking.

A Workflow can include additional Scheduler Stages managed by Hire users (such as a recruiter phone screen), as long as only one Scheduler Stage uses Hire Go users as hosts.

Configure Stage Visibility in Hire Go

Each stage in the Workflow has a Show stage in Hire Go toggle in its Advanced Settings. This controls whether applicants appear in Hire Go when they are in that stage.

  • Toggle On — Applicants are visible to hiring managers in Hire Go when they are in this stage

  • Toggle Off — Applicants are hidden from Hire Go when they are in this stage (they remain visible in Fountain Hire)

Use the Show stage in Hire Go setting to control the hiring manager's view of the pipeline. For example:

  • Toggle off early screening stages so hiring managers only see applicants who have already passed an initial qualification check

  • Toggle off post-hire stages where the hiring manager is not an active participant in the process

Stage Compatibility Reference

Not all stage types behave the same way in Hire Go. The table below shows which stages are supported and whether hiring managers can take action on applicants while they are in that stage.

Stages marked in the Actionable column are visible to hiring managers but cannot be acted on from within Hire Go. Applicants in those stages will appear in the hiring manager's view, but advance and reject decisions must be made in Fountain Hire.

Hire Go-Specific Stage Types

Two stage types are designed specifically for use in Hire Go Workflows:

Scheduler (Go-enabled)

The standard Scheduler Stage, configured with Fountain Hire Go Users as hosts. This is the required stage for any Hire Go-compatible Workflow. Hiring managers set their availability in Hire Go, and candidates book sessions based on that availability.

Review Stage

A holding stage where applicants wait while the hiring manager reviews their profile and makes an "advance or reject" decision. The Review Stage can also include a configurable questionnaire that captures structured hiring manager input — such as a proposed pay rate, a candidate quality rating, or a recommendation on next steps.

Responses are stored on the candidate record and can drive downstream automation.

Allow Hire Go Users to Create Their Own Openings

By default, Hire Go users can activate and manage pre-built Openings but cannot create net-new Openings. This allows administrators to proactively manage the full list of available Openings (position and location combinations) that are valid for hiring.

If your organization wants to allow Hire Go users to create Openings themselves, this can be enabled as an account-level setting. Contact your Fountain representative to discuss enabling this option.

When enabled, Hire Go users will see a Start Hiring button in the top right corner of the Home and Openings screens. Users select a Position and a Location from those they have access to, and Hire Go creates the Opening using the default Workflow assigned to that Position in Fountain Hire.

To prepare Positions for this flow, a Hire admin must assign a default Workflow to each Position that Hire Go users should be able to hire against:

  1. In Fountain Hire, navigate to Jobs > Positions.

  2. Find the Position and click to Edit it.

  3. Under Advanced Options, check Enable position in Fountain Hire Go.

  4. In the Select workflow for Hire Go dropdown, choose a compatible Workflow.

  5. Click Save.

Only Positions with a Hire Go-compatible Workflow assigned will appear in the Start Hiring flow in Hire Go.

Create Opening as a Hire Go User

When "Enable position in Fountain Hire Go is enabled", Hire Go users will be able to create an Opening from the Dashboard view following these steps:

  1. Click Start Hiring.

  2. Select a Position from Hire Go-compatible roles.

  3. Choose a Location to create an Opening.

  4. Continue with the AI-assisted chat prompts to activate the Opening.
