A lead capture form is a public page you share as a link or a QR code. When someone fills it out, their information is saved to your talent pool as a prospect, ready for audience and campaign targeting.
Each form has its own link and QR code, so you can run a different form for each event, program, or careers page, and people can express interest without completing a full job application.
To bring in a list of prospects you already have, see Import Prospects instead.
Find Your Forms
To manage your forms, go to Pool > Settings > Lead capture.
The Lead capture forms page lists every form with its Status, Leads captured, Public link, and the date it was Created.
Use the All, Published, Draft, and Archived tabs, Search forms, or Filters to find a form, and click Copy link on a row to copy that form's public link.
Create a Form
To create a form, follow the steps below.
Click Create lead capture form.
Enter a Form name. Your team sees this name, and the people filling in the form do not.
Click Create form.
The form opens in the form builder as a Draft. A draft form does not accept submissions, so you can set it up before anyone sees it.
Customize What Prospects See
The Editing panel on the left controls the form, and the Live preview on the right shows what prospects will see as you make changes. Use the arrows below the preview to switch between the landing page and the success page.
Under Landing page, set the following.
Header — the title at the top of the form, for example "Tell us about yourself".
Welcome message — a short introduction, with basic formatting available.
Submit button label — the text on the button prospects click to finish.
Under Success page, set the Header and Post-submission message prospects see after they submit, for example "You're all set" and "Thanks for your interest. We will reach out soon."
Choose Which Fields to Collect
Under Form fields, each prospect field has a Collect toggle and a Required toggle.
The fields are First name, Last name, Phone, Middle name, Date of birth, Address line 1, Address line 2, City, State, ZIP / postal code, and Country. A field that is collected but not required appears on the form marked "(optional)".
Email Is Always Collected and Required
The email field cannot be switched off. Email is how Pool matches records into a single Talent Profile, so a submission without one cannot create a record.
Ask Custom Questions
Under Custom questions, click Add a question and choose one of your company's custom attributes. The prospect's answer is saved to that attribute, so you can filter on it later. Text, number, date, yes/no, and single-choice attributes can be asked on a public form.
Turn on Required for any question prospects must answer.
Add Hidden Tags
Hidden tags tell one form's leads from another's. Click Add a hidden tag, choose an attribute, and set the value that every submission through this form is saved with, such as the event or source. Prospects never see hidden tags.
An attribute you already ask as a question is not offered as a hidden tag, so on any one form each attribute is either a question or a hidden tag.
Tag Each Form With Its Source
Give every form a hidden tag such as the event name or source, then filter your talent on that tag to see which form each lead came from.
Turn On the CAPTCHA Challenge
Turn on Show CAPTCHA challenge to help prevent spam bots from submitting fake prospects. This is recommended for every public form. When it is on, the challenge appears on the form above the submit button.
Click Save changes to save your edits.
Publish and Share the Form
To publish a form, follow the steps below.
Click Publish now.
In the Publish this form? window, click Publish form.
Once a form is published, anyone with its link or QR code can fill it in, and every submission joins your talent pool. Under Share your form, copy the Public link to send directly or post online, or click Download QR code (PNG) to print or display the code for people to scan.
When someone submits a form, Pool saves them as a prospect and they become eligible for audiences and campaigns. If their email address is already in Pool, the submission is added to their existing Talent Profile. A form does not create its own audience, campaign, applicant record, or Hire Opening.
Manage Your Forms
A form accepts submissions only while it is published. To take a published form offline, open it and click Convert to draft. A draft or archived form's link shows the same public response as a link that does not exist, so people cannot tell which forms you run.
Click the ⋯ menu on a form's row in the list to Edit, Duplicate, Archive, or Delete the form. Duplicating is the quickest way to set up a repeat event: copy a form that works, then change only the details for the next one, such as its name and hidden tags.
If your company used the earlier single lead capture form, it appears in the list as the Default form, and its original link and QR codes keep working.
