Update Openings in Bulk via CSV

Change pay, deadlines, titles, attributes and other details on many existing Openings at once by uploading a CSV file.

Use a CSV file to update many existing Openings at once. Request a copy of your Openings, edit it in any spreadsheet tool, and upload it. Fountain applies the changes in the background and emails you a report when it finishes.

Before You Begin

You need the Bulk edit permission to see this option. [CONFIRM: the permission name as it appears in User Roles & Permissions]

This tool changes existing Openings only. To create Openings, use Add Opening on the Openings page. To set hiring goals for many Openings, use Upload Hiring Goals via CSV in the same Bulk edit actions menu. See Hiring Goals.

Request a Copy of Your Openings

Start from a copy of your current Openings so the file matches what is in Fountain today.

  1. Click Jobs, then Openings.

  2. Click Bulk edit actions, then select Upload Opening Updates via CSV.

  3. In the Update Openings via CSV window, click requesting a copy of your existing Openings.

A message confirms that the export has started. You'll receive an email titled Openings export is ready with a Download link to the CSV file. Each row is one Opening, identified by its external_id.

Review the Fields You Can Update

The file has one column per field. You can update:

  • external_id

  • title

  • active

  • application_deadline

  • compensation

  • compensation_max

  • compensation_min

  • compensation_type

  • employment_type

  • job_type

  • job_hours

  • job_industry

  • is_sourcing_funnel

  • is_hiring_funnel

  • force_show_compensation

  • external_title

What can't be changed with the CSV

These can't be changed with this tool: Opening owner; location, position, location group or workflow; job description; alternative languages; Hire Go and AI Recruiter settings; Use Fountain Application Form; hiring goals; and clearing an attribute's value.

Update Opening Attributes

To update an Opening attribute, add a column named exactly like the attribute. Values are checked against the attribute's type: text, number, date (YYYY-MM-DD), or true/false. For dropdown attributes, copy the value from an existing Opening rather than typing it.

Prepare Your File

Follow these practices to make sure only the changes you intend are applied:

  • Start from a fresh copy.

  • Remove the rows for Openings you aren't updating.

  • Keep every column and header as exported, and change only the cells you mean to change.

  • Enter application_deadline values as future dates in YYYY-MM-DD format.

  • Name attribute columns exactly as the attribute is named.

  • Test with 2 or 3 rows first, and read the report email before you upload the rest.

Keep Every Exported Column

Don't delete columns or clear cells you aren't changing. Change only the cells you mean to update.

Upload Your File

To upload your changes:

  1. Click Jobs, then Openings.

  2. Click Bulk edit actions, then select Upload Opening Updates via CSV.

  3. Under Upload CSV file, drag your file into the box, or click choose file. Files must be .csv, up to 15MB.

  4. Click Submit.

A message confirms that the import has started. Fountain applies the changes in the background and emails you when it is complete.

Changes May Need Approval

If an opening approval rule applies, a change to a live Opening is sent for approval before it takes effect. Approvers receive an Opening approval needed email listing the requested changes.

Read the Report Email

When the import finishes, you'll receive an email titled Opening CSV update report with the number of Openings successfully updated. Rows that need attention are listed with their Opening ID and the reason.

A row is rejected when it would:

  • Activate an Opening that requires an active hiring goal and doesn't have one

  • Hide pay on an Opening where pay must be shown

  • Change an Opening you don't have access to

Other rows in the same file are still applied.
