The Openings page is the main workspace for the job Openings you have access to in Fountain Hire. An Opening represents a specific Position and Location, and connects to a hiring workflow containing the stages applicants move through. Most users land here when they open Hire.
To reach it, click Jobs in the top menu, then Openings.
Watch the following video for a tour of the Openings page:
You See Only Your Own Openings
The page lists only the Openings your permissions give you access to, so your list may not match a colleague's. The same applies to the controls on it: what you can edit, create, or delete depends on your role and your account's settings.
Find an Opening
Search Openings
Use Search Openings to find a single Opening by name.
Filter Openings
To narrow the list to a set of Openings, use the filter controls beneath the search box. They cover the dimensions teams organize around, so you can show only the Openings you own, everything in one region, or every role running a particular workflow. The Attributes filter reaches the custom attributes configured on your Openings, such as Department or Grade.
Status is the filter most people reach for first. Choose Active for Openings currently available for hiring, Inactive for those that have been deactivated, or select both to see everything.
Understand the Openings List
Each row summarizes one Opening. Which columns appear depends on your account's configuration and on the layout you choose, and commonly includes:
Opening — the internal name identifying the Opening. Click it to open the Applicant Table.
Status — a dot showing whether the Opening is active or inactive.
Location Group and Location & Address — where the Opening sits.
Owner, Pay, and Creation Date — the basic details of the role.
Workflow — the workflow the Opening runs on.
Hiring Goal — progress toward the number of hires needed, such as 3 of 10.
Pipeline — the number of applicants currently active in the Opening.
Any column header with arrows sorts the list by that column.
To change which columns appear, select the grid icon at the right of the filter row. Available Columns lists everything you can add, including your own company attributes, and Selected lists what appears today, in order. Drag a row in Selected to move it, remove what you do not need, then apply. Status and Opening are always present.
Use the Openings List
Open the Applicant Table
Click an Opening's name to go to its Applicant Table, which shows that Opening's workflow stages in the order applicants move through them. Select a stage to see the applicants currently in it.
The Applicant Table is always scoped to one Opening. To work across several Openings at once, use the Universal Applicant View instead.
Set a Hiring Goal
Where Hiring Goals are enabled, the Hiring Goal column shows progress toward an Opening's target, so 3 of 10 means three hires have counted against a target of ten.
If no goal exists yet, select Set Hiring Goal and enter a start date, a hiring target, and a Hire By date if the goal has a deadline. You can add further goals for later hiring periods. An existing goal is edited from the pencil icon on its row, or from Edit Hiring Goal in the More Actions menu.
How goals behave depends on your company settings. Fountain can be configured to require an active goal before an Opening can be activated, to deactivate an Opening once its goal is filled, to close a goal when its target is met or its end date passes, and to count a hire either when an applicant is hired or when they reach a designated workflow stage.
Setting Goals Requires A Permission
Users need Administrator or Hiring Goals permission to set or edit a Hiring Goal.
Manage an Opening
Select the three-dot More Actions button beside an Opening to reach its management options. What appears depends on your permissions and your account's configuration, and can include:
Edit Job Details — title, status, owner, pay, job hours, job type, application deadline, access, and the sourcing and hiring designations.
Edit Position & Application Form — the applicant-facing job description and application experience. An Opening-level description can be customized without affecting other Openings that use the same Position.
Edit Workflow — open the Workflow Editor to review or change stages, rules, messages, and automation.
Change Workflow — connect the Opening to a different workflow.
Set Hiring Goal or Edit Hiring Goal — depending on whether a goal already exists.
Add Applicant — add an applicant to this Opening directly.
View Job — see the applicant-facing Application Form as candidates see it.
Edit Job Details and Edit Position & Application Form are the two most people use day to day.
Shared Workflow Edits Reach Every Linked Opening
Editing a workflow that several Openings are linked to changes it for all of them. Changing an Opening to a different workflow may also require mapping applicants who are already active to stages in the new one.
Create an Opening
Users with the appropriate permission can create an Opening from this page.
Click Jobs, then Openings.
Select Add Opening.
Choose a Position and a Location. If either does not exist yet, use Add Position or Add Location.
Enter the Opening details.
Choose how to set up its workflow. Create new workflow builds one from scratch, Link existing workflow connects the Opening to a shared workflow, and Clone existing workflow copies one you can then edit independently.
Complete any additional steps, such as creating a Hiring Goal or submitting the Opening for approval.
Save or submit the Opening.
Link A Workflow Unless It Needs Changes
Choose Link existing workflow when the new Opening should follow an established process, and Clone existing workflow when that process needs Opening-specific changes. A linked workflow's future edits reach every Opening using it.
Where Opening Approval is enabled, the Opening goes to an Administrator before it becomes active. The creator can add an optional reason, and Fountain sends an email when the request is approved or rejected.
Manage Openings in Bulk
Where the relevant features and permissions are in place, Bulk edit actions appears above the list and covers actions such as uploading Hiring Goals by CSV.
Customers with Data Pipelines enabled can also import several Openings at once from a CSV, using Import Openings in the Add Opening menu, rather than creating them one at a time.
