Manage Applicants in Hire Go

You can take action on applicants in several areas within Hire Go — most commonly from My Dashboard or directly within a specific Opening. From these views, you can also send text messages to applicants, review AI Interview results, share the application link, or download a QR code for your Opening.


My Dashboard

My Dashboard shows action items for openings where you are the owner or interview host. The dashboard displays upcoming interviews on the left and action item cards on the right.

If you need to manage an applicant in an Opening where you are not the Opening Owner or Interview Host, switch to the Shared Dashboard. This provides the same view and action options, but shows applicants across all Openings you have access to.

Action Item Cards

Action item cards display at-a-glance counts of tasks requiring your attention:

  • Review applicants: Number of applicants waiting for your review to advance to the next stage

  • Provide interview feedback: Number of completed interviews where you need to submit feedback

  • Review video interviews: Number of video interviews needing evaluation (shows count when greater than 0)

  • Manage interview coverage: Number of openings needing interview hosts (shows count when greater than 0)

When you've completed all tasks in a category, a green checkmark appears with a confirmation message (e.g., "All done! Every applicant reviewed.").

Review Applicants

To review applicants from My Dashboard:

  1. Click the View applicants link in the "Review applicants" card

  2. You'll navigate to the applicant review page (breadcrumb: Hire Go > Dashboard > Review Applicants)

  3. Applicants are listed showing:

    • Stage label (their current position in the hiring workflow)

    • Applicant name (clickable link to their profile)

    • Opening they applied to

    • Advance and Reject buttons below each applicant

  4. To review an applicant's full details, click their name to open their complete applicant profile

  5. In the applicant profile, you can review all application information and use the Advance or Reject buttons to take action. From this view, you can access key applicant information — such as screening question responses, uploaded documents (like resumes), and video submissions from a Video Recording stage. You can also add internal notes that remain hidden from the applicant.

My Dashboard shows only applicants from openings where you are the owner or interview host. To see applicants across all openings you have access to, switch to the Shared Dashboard view using the tabs at the top.

Providing Interview Feedback

After conducting interviews, you can provide feedback from My Dashboard:

  1. Click the View interviews link in the "Provide interview feedback" card

  2. You'll navigate to the interview feedback page (breadcrumb: Hire Go > Dashboard > Interview Feedback)

  3. Applicants with completed interviews are listed showing:

    • Applicant name

    • Interview date and time

    • Opening they applied to

  4. Click the Provide feedback button for the interview you want to provide feedback on

  5. Answer the feedback questions:

    • Attendance: Mark whether the applicant "Attended" or "Did not attend" their interview

    • Feedback notes: Add any observations or comments about the interview, or skip if you have no additional feedback

    • Decision: Choose to Advance the applicant to the next stage or Reject them

Interviews appear in the feedback list after the scheduled interview time has passed


Specific Opening’s page

To take action from a specific Opening’s page, follow the steps below:

  1. Navigate to the Openings page and find the Opening that has applicants you want to action. Use the search if necessary.

    1. You can also use the filter button to search for specific Openings based on location or whether the Opening is active.

  2. Click the name of the Opening to open the details for that Opening.

  3. The Overview tab will show information on the Opening's Hiring Target and any required actions for the Hiring Manager listed in chronological order based on the stages in the hiring workflow. This list will only require stages that are Hire Go enabled.

    1. Click on an action item box to see the applicants within that stage and complete the required actions such as advancing the applicant.

    2. Any interviews scheduled for today will also be listed on the Overview tab.

  4. Click on the applicant’s name to open their Applicant Profile.

Important Note:

The Provide Interview Feedback flow is only available from the Dashboard view in Hire Go, not from a specific Opening page. However, if you open an Applicant Profile from anywhere in the system, you can still complete each action in that flow — including marking attendance, adding an optional note, and advancing or rejecting the applicant.


Print Applicant Details

You can print an applicant's details as a formatted PDF directly from their Applicant Profile. This is useful for in-person and onsite interviews, where an interviewer wants an offline or physical copy of the applicant's responses.

Print an Applicant's Details

To print an applicant's details, open their Applicant Profile and use the print option at the top right.

  1. Open the applicant's profile from any view, such as Review Applicants or a specific Opening.

  2. Click Print Applicant Details at the top right of the profile.

  3. In the Select stages to print window, choose which stages to include in the PDF:

    1. The stages listed depend on the Opening's workflow (for example, Initial Screening Questions, Video Recording, Hiring Manager Screen, Onsite Interview, Approved, Rejected, or On Hold).

  4. Click Print to generate the PDF, or Cancel to close without printing.

  5. The PDF opens in a new browser tab, where you can save or print it.

Print From Any Applicant Profile

The print option is available anywhere you can open an Applicant Profile, including from Review Applicants and a specific Opening's Applicants tab.

What the PDF Includes

The generated PDF contains:

  • The applicant's name, email, phone number, and the location and Opening they applied to

  • Each selected stage, with its stage type and completion date and time

  • The question and answer content for each stage; any question without a response shows "No Answer Provided"

  • Any files the applicant submitted

  • Recruiter notes (optional)

Print Available on Mobile

On a mobile device, the print option produces a PDF you can save and share from your phone.


Texting Applicants

You can text with applicants through their Applicant Profile. Fountain recommends using Hire Go’s texting feature rather than communicating with applicants via your own personal device because it will hide your phone number from applicants and instead route it through a previously configured number associated with your company’s account.

To text the applicant, click the Messages tab in their profile and type in the box. If the applicant has unsubscribed from text messages, this box will be grayed out.

Sharing the Opening Link with Applicants

Within Hire Go, you can quickly grab the job Opening link to share with applicants. You'll also have the option to download a QR code, which can be printed and/or posted for applicants to scan to access the application on their phone!

  1. Navigate to the specific job Opening's page through the Openings screen.

  2. Click the Share button towards the top right next to the Promote button.

  3. Either copy the link or download the QR code image.


AI Interview Results

If your company is using an AI Interview stage to screen applicants, you can view the AI Interview score and report in the Applicant's Profile in Hire Go via the AI Interviewer section.

Viewing Applicant Shifts

If your company is utilizing Hire's Shift functionality, the shift assigned to the applicant will be visible on the Openings screen in the SHIFT column.

Duplicate Applicants

If the applicant has applied multiple times, they will be flagged as being a potential duplicate. This is visible on the Openings page and within the Applicant's Profile.

Click on Duplicate Applicant in their profile to see and navigate to other applications.

If you do not see the duplicate applicant indicator and are interested in using this in your account, talk to your account Administrator so they can request it be enabled via their Fountain Customer Success contact or [email protected].


Applicant Troubleshooting

You may have an applicant reach out to you asking for help, but they may not be in a Hire-Go-enabled stage, which means you won't see them in any of the Action tiles.

To see all applicants in an Opening's pipeline, navigate to a specific Opening's page and then click the Applicants tab. This will show all applicants currently applying. Click their name to open their Applicant Profile and text with the applicant.

You can also see all applicants across all Openings by going to the Applicants screen. Use the search to find applicants.
